About The Position

We are seeking a detail-oriented and organized Pharmaceutical Licensing Application Specialist to join our State Licensing department. This role involves providing customer service and supporting the daily operations of the licensing team. The specialist will be responsible for drafting and processing state pharmaceutical applications, verifying licenses, reviewing documentation for accuracy, managing correspondence, updating internal databases, and maintaining a document repository. This position requires strong administrative and communication skills, with a preference for experience in regulatory affairs or licensing within the pharmaceutical or healthcare industries.

Requirements

  • Minimum of one (1) year of experience in regulatory affairs, licensing, or a related administrative field, preferably in the pharmaceutical, healthcare, or life sciences industries.
  • Demonstrated experience with regulatory data entry, application processing, or compliance documentation.
  • Experience working in a high-volume, deadline-driven environment with a strong attention to detail.
  • Proficient in English communication, both verbal and written, with the ability to craft professional emails and produce clear, well-structured documentation.
  • Ability to interpret regulatory instructions and requirements and translate them into accurate application materials.
  • Proficient in Microsoft Office Suite (especially Word, Excel, and Outlook).
  • Capable of handling sensitive or confidential information with discretion.
  • Highly organized with the ability to prioritize and manage multiple tasks simultaneously.
  • Self-motivated, adaptable, and comfortable working independently or collaboratively in a remote or hybrid environment.
  • Demonstrated problem-solving ability and a proactive approach to addressing application deficiencies or process delays.

Nice To Haves

  • Familiarity with state or federal regulatory bodies, such as Boards of Pharmacy, DEA, or FDA, is a plus.
  • Prior experience using document management systems, customer relationship management (CRM) software, or licensing portals is preferred.
  • experience with PDF editing tools is a plus.

Responsibilities

  • Perform customer service and support the State Licensing department on day-to-day duties.
  • Draft online and hard copy state pharmaceutical applications.
  • License verification.
  • Review signed applications for accuracy and completion.
  • Review outgoing and incoming physical mail (electronically if working remote).
  • Address deficiencies highlighted by the Board on behalf of customer.
  • Update internal database to reflect application progression.
  • Maintain document repository of customer supporting documents, applications and deficiency correspondence.
  • Administrative work (basic Microsoft Word skills required).
