About The Position

Amex GBT is seeking a Pharmaceutical Congress Meeting Planner to serve as the primary client liaison and lead for assigned pharmaceutical congresses for a global client. The ideal candidate will collaborate closely with the client to understand and achieve program objectives and outcomes. This role requires the ability to travel up to 40%.

Requirements

  • 3-5 years of pharma congress planning experience.
  • Ability to communicate effectively and professionally with all levels of management and clients.
  • Ability to work accurately and timely to meet deadlines.
  • Ability to be flexible and handle change well.
  • Demonstrated skills in technology and/or software solutions.
  • Analytical skills required.
  • Advanced Microsoft Word and Excel experience.
  • Advanced oral and written presentation skills required.
  • Ability to travel by airplane, boat, rail and/or car with travel up to 40%.

Nice To Haves

  • 4-year degree
  • CMP designation preferred
  • Experience with meeting industry technology (CVENT) preferred

Responsibilities

  • Complete project timelines, establishing workflow schedules with clients and suppliers for timely and accurate handling of all program details.
  • Utilize the business program management system to manage programs from contract turnover to final bill completion.
  • Handle and negotiate contracts for additional hotel needs, Congress needs, Destination Management Companies (DMCs), air travel, and all third-party services.
  • Monitor attrition dates and cancellation policies to ensure contracted services are performed.
  • Communicate between Information Technology support and clients regarding web requirements for assigned programs.
  • Work with the creative team to produce program materials.
  • Coordinate and potentially attend site inspections as needed.
  • Coordinate all program details and produce a program itinerary/working agenda outlining specifics and requirements.
  • Conduct program debriefs with the client.
  • Work with accounting to complete the final bill, reviewing it before final invoicing to the client.
  • Maintain accurate records, system input, and complete file management according to Amex GBT M&E and client policies and procedures for ToV reporting.
  • Evaluate program impact, reassess objectives and outcomes, and plan for continuous improvement.
  • Partner with the designated team to communicate registration, air needs, status meetings, and maintain continuous communication throughout the program.
  • Assist with any level of Congress meeting or event, including those that are sophisticated, high-volume, highly confidential, international in scope, or attended by HCPs.
  • Act as a lead, communicating program requirements to the team and working closely with support departments to exceed client requirements and objectives.
  • Partner with third-party suppliers to arrange their services.
  • Conduct regularly scheduled status meetings with the client and stakeholders from pre-launch through program operation, ensuring program objectives are met.
  • May be requested to lead VIP special projects and oversee VIP logistics.
  • Develop strong relationships with multiple contacts within client and supplier organizations.
  • May participate in client presentations as requested.
  • Review processes and offer solutions/additions as needed.
