About The Position

The Personnel Assistant II provides administrative and technical support to the Human Resources team at a U.S. Army contractor site. This role supports day-to-day HR operations, including personnel record management, onboarding, timekeeping, benefits administration, and compliance with contract, company, and U.S. Army requirements. The Personnel Assistant II ensures timely and accurate processing of HR documentation while maintaining confidentiality and adherence to DoD and contractor personnel policies.

Requirements

  • High school diploma or equivalent is preferred; however, equivalent relevant work experience may be substituted.
  • 2–4 years of HR, administrative, or personnel support experience (military contractor or Army site preferred).
  • Familiarity with DoD or Army HR processes highly desirable.
  • HR administrative practices, personnel recordkeeping, and compliance requirements.
  • Basic understanding of labor regulations (FLSA, EEO, FMLA, and applicable FAR/DFARS clauses).
  • Strong organizational and data entry skills with attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to maintain confidentiality of sensitive personnel information.
  • Strong communication and customer service skills for supporting employees and leadership.
  • Must have a REAL ID.
  • Basic proficiency in the English language (reading and writing).
  • Must receive a favorable background check and drug testing results.
  • Must have a valid driver’s license with proof of vehicle insurance.
  • Must be able to obtain and maintain a Common Access Card (CAC).
  • Must be able to obtain Tier1/ NACI (Public trust) background eligibility.

Nice To Haves

  • Associate’s or Bachelor’s in Human Resources, Business Administration, or related field desired.
  • Experience with HRIS or timekeeping systems (Deltek, Kronos, Costpoint, or similar) preferred.

Responsibilities

  • Serves as a clerical expert in independently processing the most complicated types of personnel actions, e.g., temporary employment, rehires, and dismissals.
  • Performs tasks beyond routine clerical such as: pre-employment drug screening and new hire orientation, responding to routine questions on policy and procedures, and/or provide reports on employee turnover or time and attendance.
  • Evaluates and consolidates information from various sources under short deadlines, such as internal or external survey information, reporting on company employment statistics (retention, equal opportunity reporting, etc.).
  • Provides guidance to lower level Personnel Assistants.
  • Maintains accurate and up-to-date employee personnel files in accordance with company policy, Army contract requirements, and regulatory standards.
  • Assists in preparing HR forms, reports, and personnel action requests (PARs).
  • Supports tracking of employee assignments, rotations, leave, and contract-mandated requirements.
  • Assists in processing new hire documentation, background checks, and in-processing requirements.
  • Coordinates with site security, IT, and supervisors to ensure smooth onboarding.
  • Supports out-processing and final clearance of departing employees, including property return and exit documentation.
  • Maintains accurate time and attendance records in compliance with Defense Contract Audit Agency (DCAA) requirements.
  • Processes leaves requests, overtime authorizations, and shift adjustments.
  • Supports supervisors and employees in resolving timekeeping discrepancies.
  • Provides employees with information on company policies, benefits, and HR procedures.
  • Assists HR Manager with enrollment, updates, and tracking of employee benefits programs.
  • Responds to routine employee inquiries and escalates complex issues to HR management.
  • Ensures HR documentation complies with U.S. Army contract requirements, FAR/DFARS labor clauses, and Equal Employment Opportunity (EEO) guidelines.
  • Supports audits, inspections, and government reporting requirements.
  • Assists in maintaining personnel accountability records for Army contract reporting.
  • Prepares correspondence, reports, and presentations for HR management.
  • Schedules meetings, coordinates training sessions, and assists with HR communications.
  • Provides support to site leadership for workforce-related tasks as required.
  • May be required to perform other duties as assigned.
  • May require up to 25% travel within the United States.
