About The Position

Our client, a private family based in the Bay Area, is seeking a full-time Personal Assistant to support the family's day-to-day scheduling, logistics, and household needs. This role is ideal for someone who is highly organized, efficient, and thorough, with a genuine enjoyment of working closely with a family, including older children. The ideal candidate is comfortable navigating a fast-paced schedule with last-minute changes and brings a discreet, trustworthy, and adaptable approach to their work. They're willing to travel occasionally, including ahead of the family when needed, and are skilled at creating systems that help the home and overall family life run more smoothly. This person brings a genuinely good-natured, service-oriented approach and takes real pride in being the steady, dependable presence that keeps daily life running seamlessly.

Requirements

  • Must be local to the Bay Area
  • 5+ years of experience as a Personal Assistant in a private household setting
  • Highly organized, efficient, and thorough
  • Genuine enjoyment of working with and around older children
  • Comfortable with a fast-paced schedule and last-minute changes
  • Discreet, trustworthy, and adaptable
  • Willingness to travel occasionally, including ahead of the family when needed
  • A genuinely good-natured, service-oriented approach; no task considered "not my job"
  • Legally authorized to work in the US
  • Willingness to undergo an in-depth background check

Responsibilities

  • Manage and maintain family calendars, appointments, and scheduling, including medical appointments, children's activities, educational commitments, and social engagements
  • Coordinate domestic and international travel for the family and extended family, including itineraries, accommodations, and last-minute changes
  • Coordinate personal appointments, errands, and day-to-day requests for the family
  • Support with gifting, holiday planning, charitable donations, and special projects as needed
  • Assist with personal bill payments, insurance claims, and related administrative documentation
  • Manage daily mail, packages, returns, and household deliveries
  • Source, schedule, and coordinate vendors and service providers, overseeing maintenance visits when appropriate
  • Help implement and manage household software, organizational systems, and digital records
  • Coordinate with the Estate Manager regarding family visits to other residences and support family events as needed
  • Drive the children as requested and assist with activity logistics
  • Provide occasional evening, weekend, and travel support as needed, including traveling ahead of the family when requested
  • Maintain the family's safety, security, privacy, and confidentiality at all times
