Requirements

  • Proven experience as an Executive or Personal Assistant, preferably supporting senior-level executives.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Ability to handle multiple tasks with a high level of accuracy and efficiency.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • High level of discretion and professionalism when handling sensitive information.
  • Strong problem-solving skills and the ability to work independently.
  • Available to occasionally work outside of standard business hours when necessary.

Nice To Haves

  • Experience in a medical environment, in ophthalmology, as an Ophthalmic Technician, or in Optometry.

Responsibilities

  • Provide high-level administrative support to the executive, including managing schedules, emails, and correspondence.
  • Coordinate meetings, appointments, and travel arrangements (domestic and international).
  • Handle personal tasks such as event planning, and personal errands.
  • Prepare reports, presentations, and documents as needed.
  • Serve as a liaison between the executive and internal/external stakeholders.
  • Manage special projects and ensure deadlines are met.
  • Conduct research and compile data for decision-making purposes.
  • Maintain organization of files, records, and confidential documents.
  • Assist in financial management, including expense tracking and budget coordination.
