About The Position

The Permitting Specialist is responsible for conducting site assessments and managing the research, preparation, and submission of permits, licenses, and related documentation for sign system projects. This role ensures compliance with all applicable municipal, county, and landlord regulations while coordinating with internal teams, vendors, and stakeholders to secure necessary approvals prior to project execution.

Requirements

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Strong research, analytical, and problem-solving skills
  • Ability to read and interpret technical documents, plans, and regulations
  • Effective multitasking and time management skills
  • Prolonged periods of sitting and working on a computer
  • Occasional standing, walking, bending, reaching, and handling materials
  • Ability to communicate effectively and maintain visual focus (close and distance vision)

Nice To Haves

  • Experience in permitting, zoning, or the sign/construction industry
  • Familiarity with municipal codes, zoning laws, and permitting processes
  • Experience working with ERP or project management systems

Responsibilities

  • Conduct comprehensive site due diligence, including research of zoning regulations, municipal codes, permitting processes, and associated fees
  • Identify applicable jurisdictions, overlay districts, and property ownership details
  • Review landlord and developer criteria, tenant requirements, and approval processes
  • Analyze construction documents to verify compliance with sign regulations, including size, placement, setbacks, and design specifications
  • Prepare detailed Site Assessment Reports (SARs) including regulations, application forms, site plans, maps, and fee summaries
  • Distribute SARs to internal teams, clients, landlords, architects, and other stakeholders
  • Coordinate with installation vendors and provide necessary documentation for permit acquisition
  • Collaborate with third-party engineering firms when required to meet municipal standards
  • Prepare and submit permit applications and supporting documentation; track and follow up to ensure timely approvals
  • Communication with sales team/project management team and clients regarding permitting and code related aspects of projects
  • Reviewing all signage SAR’s and crosscheck with national accounts to ensure timelines and all SAR requests are accounted for.
  • Attend K.O. off meeting when required
  • Attend variance hearings via zoom/in person when ADCON required presence is needed
  • Managing permitting specialty projects assigned by Sales Manager and/or Account Manager as needed example: window wraps for national rollouts
  • Address requests from PM department for additional information or requirements such as ALTA surveys for installations
  • Process purchase orders related to permitting through the company ERP system
  • Maintain accurate project records and documentation throughout the permitting lifecycle
  • Maintain a safe, organized, and professional work environment
  • Support team objectives and contribute to overall business success
  • Adhere to all company policies, procedures, and safety standards
