About The Position

The Permit Specialist plays a critical role in supporting the division's growth by managing permitting activities, coordinating municipal approvals, and maintaining essential project documentation. This position serves as a key liaison between internal teams, government agencies, utility providers, and development partners to ensure communities and homes move efficiently from planning to production. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where proactive communication and strong follow-through are essential to project success.

Requirements

  • High school diploma required; associate's or bachelor's degree preferred.
  • 3+ years of administrative experience in a professional office environment.
  • Experience in homebuilding, land development, residential real estate, permitting, or related industries preferred.
  • Prior legal, contract administration, or document management experience is a plus.
  • Strong organizational skills with the ability to manage multiple projects, deadlines, and priorities simultaneously.
  • Excellent verbal and written communication skills and the ability to build positive relationships with internal and external partners.
  • Customer-focused mindset with professionalism and confidence when working with government agencies and service providers.
  • Intermediate proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Strong attention to detail, problem-solving skills, and a proactive approach to managing projects from initiation through completion.
  • Self-motivated team player who can work independently while collaborating effectively across departments.

Responsibilities

  • Coordinate the submission, tracking, and approval of building permits with local municipalities to support targeted construction start dates.
  • Prepare and submit applications for permits, waivers, tentative and final maps, plan revisions, and other required local and state agency approvals.
  • Monitor permit status and proactively follow up with agencies to ensure timely approvals and document receipt.
  • Maintain organized project files and upload forward planning, land development, and architectural documents into the document management system.
  • Research zoning requirements, grading restrictions, right-of-way considerations, mapping information, and other land development constraints for prospective projects.
  • Partner with internal departments to support due diligence efforts and identify potential property challenges before land acquisition decisions are finalized.
  • Coordinate applications, plans, and supporting documentation with utility providers to facilitate new community development and home construction.
  • Support land acquisition activities by preparing required submittals and obtaining signatures and approvals needed for transaction processing.
  • Generate reports, maintain project records, and provide administrative support related to land development and forward planning initiatives.
  • Serve as a professional representative of the organization when interacting with municipalities, utility companies, consultants, and other external stakeholders.
