The Opportunity We are growing and have created a brand-new dedicated Permit Coordinator position to support our expanding operations. This is a great opportunity for someone who is detail-oriented, organized, and looking to build a long-term career with a stable, reputable company. You will serve as the primary point of contact for all permit-related activities and playing a key role in keeping our projects moving by managing the permitting process from start to finish.

  • Proficient in Microsoft Office Suite and comfortable learning new software platforms quickly
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred
  • Prior experience in permitting, construction administration, or a related field preferred
  • Strong familiarity with building codes, zoning regulations, and permit requirements preferred
  • Excellent organizational skills with strong attention to detail
  • Ability to manage multiple projects and deadlines simultaneously
  • Valid driver's license

Nice To Haves

  • Experience with permit tracking, SalesForce or JobTread (construction management software) is a strong plus
  • Ability to read and interpret site plans and construction blueprints is a bonus — experience with CAD software is a significant plus

Responsibilities

  • Submit, track, and manage permit applications for pool construction projects across multiple jurisdictions
  • Coordinate with municipal and county offices to ensure timely permit approvals
  • Act as the primary point of contact for permit-related inquiries, responding promptly and resolving issues effectively
  • Maintain accurate and organized records of permit status, approvals, inspections, expirations, and address-specific documentation
  • Initiate and oversee check requests for permit fees and associated costs
  • Keep Project Managers, Superintendents, and the production team informed of permit status, fee changes, and municipality-related updates
  • Research permit requirements for new project locations and proactively resolves roadblocks
  • Collaborate with consultants — including architects, engineers, and other specialists — to ensure timely and complete plan package submissions
  • Monitor and track the building plan approval process across various municipalities
  • Own and drive the full permitting lifecycle from submission through approval, maintaining accountability for accuracy, timelines, and successful project progression into construction across all active projects
  • Weekly & Monthly Reporting - Provide consistent weekly and monthly reporting on permit status, timelines, and key risks to ensure visibility and alignment across teams.
  • CRM / JobTread Updates - Maintain accurate, real-time updates in JobTread to ensure clear visibility of permitting status and overall project progression for all stakeholders.
  • Proactively manage permit progress through consistent follow-up with jurisdictions and stakeholders to maintain momentum and prevent delays
  • Drive cross-functional alignment between Sales, Engineering, and Production to ensure accurate information flow and efficient project execution through permitting
  • Serve as the operational bridge between Sales and Production from contract execution through permit approval, collaborating closely with Sales Consultants, Sales Coordinator and Sales Manager to validate project feasibility, ensure accurate documentation, and maintain alignment throughout the permitting process
  • Validate pool placement and site plans against property constraints and code requirements prior to submission, ensuring compliance and preventing downstream revisions or field conflicts
