About The Position

Instawork is seeking a highly composed, detail-oriented, and execution-focused People Operations Manager to join their team. This role is a unique blend of HR Operations, HRBP support, and Recruiting/People Ops coordination. The People Operations Manager will serve as the operational backbone of the People team, managing the day-to-day employee lifecycle, ensuring compliance, and partnering with managers on employee relations and performance. The role also involves acting as the local People Ops representative in their San Francisco office, coordinating with building management, managing local vendor relationships, and ensuring a welcoming, productive environment for their hybrid team.

Requirements

  • 4+ years of experience in HR Operations, as an HR Generalist, or as an HRBP, ideally within a fast-growing technology company.
  • Calm, steady presence; remains level-headed and solution-oriented when priorities shift rapidly or complex employee situations arise.
  • Detail-oriented with a focus on flawless execution, double-checking data, and spotting discrepancies.
  • Proactive in understanding processes and seeking ways to improve them; learns quickly, adapts to new tools, and actively seeks feedback.
  • Comfortable with ambiguity and able to pivot quickly in a high-growth environment.
  • Clear, empathetic, and professional communication skills across all levels of the organization.

Responsibilities

  • Own the end-to-end onboarding and offboarding processes, ensuring a seamless, high-touch experience for all new hires and departing employees.
  • Manage and audit the HRIS (Rippling), ensuring 100% accuracy in employee records, state tax allocations, job changes, and compensation data.
  • Administer and manage all health, welfare, and retirement programs in collaboration with finance, partnering closely with brokers and platform vendors (e.g., Accrue, Tilt).
  • Lead regular audits including 401(k) administration, worker classification (interns, contractors, FTEs), and state-by-state payroll tax compliance.
  • Act as the first point of contact for managers on HR policies, performance management, and employee relations.
  • Coordinate the execution of bi-annual performance review and calibration cycles, ensuring timelines are met and compensation adjustments are accurately processed.
  • Serve as a trusted resource for employees on benefits, leaves of absence (partnering with Tilt), and general workplace inquiries.
  • Partner with the Talent Acquisition team to optimize recruiting workflows, manage ATS data integrity, and coordinate seamless handoffs from candidate-to-new-hire.
  • Support the rollout or revamp of key People programs, such as onboarding, off-boarding, operation reporting, and training initiatives.
  • Act as the local People Ops representative in our brand-new SF office, coordinating with building management, managing local vendor relationships, and ensuring a welcoming, productive environment for our hybrid team.
