About The Position

The People Operations Support Partner provides comprehensive administrative and operational support to the People Operations department and serves as a key resource for employee correspondence, records management, documentation, and employee lifecycle administration. This role ensures People Operations records and processes are organized, accurate, timely, and maintained in accordance with organizational requirements. The People Operations Support Partner is responsible for managing routine employee communications, maintaining personnel records and files, supporting onboarding and offboarding processes, processing employee changes, and providing administrative support across People Operations. This position works closely with People Operations team members and employees to ensure a responsive, organized, and positive employee experience.

Requirements

  • Minimum of an Associate’s Degree.
  • 2+ years of experience in an HR support or administrative role.
  • Experience with HRIS systems and familiarity with HR processes and best practices.
  • Strong organizational skills with the ability to manage multiple tasks and priorities.
  • Excellent attention to detail and a commitment to accuracy in all tasks.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with employees at all levels.
  • Discretion and confidentiality in handling sensitive employee information.

Responsibilities

  • Manage routine People Operations email correspondence and respond to employee inquiries in a timely, professional, and accurate manner.
  • Prepare and distribute employee communications, notices, letters, forms, and other People Operations correspondence.
  • Coordinate routine communications related to onboarding, benefits, employment changes, leave, performance processes, and offboarding.
  • Route employee questions and requests to the appropriate People Operations team member when additional support or expertise is needed.
  • Maintain organized communication records and documentation as required.
  • Fill out and respond to all requests related to employment verification, TEACH, PSLF, and any other employee needs.
  • Maintain accurate and organized electronic and physical personnel files in accordance with organizational policies and applicable requirements.
  • Ensure employee records are filed, updated, retained, and disposed of according to established records retention practices.
  • Process and maintain confidential employee documentation, including employment records, personnel changes, acknowledgments, forms, and correspondence.
  • Conduct routine file audits to ensure records are complete, accurate, and properly maintained.
  • Support the secure storage and appropriate handling of confidential employee information.
  • Provide administrative support throughout the employee lifecycle, including recruitment, onboarding, employment changes, performance processes, and offboarding.
  • Prepare and coordinate new hire documentation, onboarding materials, employment forms, and required acknowledgments.
  • Process routine employee changes and ensure appropriate documentation is completed and maintained.
  • Support termination and offboarding processes, including collection and organization of required documentation.
  • Maintain accurate employee information and documentation within applicable People Operations systems.
  • Provide administrative support to the People Operations team, including scheduling, document preparation, meeting coordination, and general department support.
  • Assist with People Operations meetings, trainings, events, and employee engagement activities.
  • Maintain calendars, tracking tools, forms, templates, and other administrative resources.
  • Assist with the distribution and tracking of policies, procedures, forms, and required employee acknowledgments.
  • Coordinate routine requests and follow-up items to ensure timely completion.
  • Provide administrative support for People Operations projects and initiatives as assigned.
  • Input new Head Start employees into the Child Plus Database and following onboarding.
  • Input all new employees into Telehealth, OneCall, and Calm Health databases.
  • Maintain petty cash funds, submit relevant receipts, and ensure it is balanced.
  • Maintain records and documentation in accordance with organizational policies, applicable employment laws, Head Start Performance Standards, and records retention requirements.
  • Support the preparation and organization of documentation for audits, compliance reviews, and internal requests.
  • Ensure confidential employee information is handled appropriately and securely.
  • Monitor assigned documentation for completeness and follow up on missing or incomplete information.
  • Maintain current knowledge of People Operations procedures and apply established processes consistently.
  • Provide responsive, professional, and employee-centered service to employees and internal partners.
  • Assist employees with routine questions regarding People Operations processes, forms, documentation, and procedures- including all steps of the qualifying letter process.
  • Promote a positive employee experience through timely communication, organization, follow-through, and attention to detail.
  • Maintain professionalism, discretion, and confidentiality when handling sensitive employee matters.
  • Perform other duties and special projects as assigned in support of People Operations.
