About The Position

As our People Operations Associate, you will serve as the operational heartbeat of the HR team, providing essential support across the entire employee lifecycle. This role is designed for a detail-oriented, numerically minded professional who thrives in a fast-paced environment where priorities can shift quickly. You will balance critical activities such as payroll, benefits, and HRIS maintenance, with time-sensitive logistics of full-cycle recruiting and workforce management, creatively addressing problems and anticipating issues. Whether you are coordinating complex interview schedules or utilizing state-of-the art AI-driven tools to automate scheduling and data entry, your work will be foundational to maintaining a compliant, efficient, and engaged workforce. We are looking for a proactive, agile problem-solver who can manage the "now" while helping us build the systems of the future.

Requirements

  • 3+ years of experience in a Human Resources role (Generalist, Coordinator, or Recruiting)
  • Bachelor’s degree in HR, Business Administration, or a related field
  • You enjoy working with data, budgets, and payroll schedules; you see the "story" behind the numbers
  • You are comfortable in a "moving targets" environment and can pivot from a creative culture project to a technical audit without missing a beat
  • Exceptional written and verbal communication skills
  • Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint) and experience with HRIS platforms
  • High emotional intelligence, discretion with sensitive information, and a proactive "no task is too small" attitude

Responsibilities

  • Act as the primary gatekeeper for our HRIS and databases, ensuring 100% accuracy in employee records, I-9 verifications, and employment letters. You will play a key role in the implementation of new HR technologies, leveraging AI-driven tools to automate manual workflows and maintain the company intranet.
  • Drive the momentum of our hiring process by managing complex interview scheduling and CDA collection. You will assist in the onboarding experience, ensuring every new hire has a seamless transition from their first interview to their first day.
  • Partner closely with Finance to execute flawless bi-weekly and semi-monthly payroll. You will own the administrative side of our benefits lifecycle, from HIPAA compliance and COBRA management to high-touch periods like annual Open Enrollment.
  • Manage the department’s financial "paper trail" by processing insurance provider invoices and candidate reimbursements. You will take the lead on procurement within Coupa, ensuring all purchase orders (POs) are handled with precision and speed.
  • Act as a central hub for the Boston office by coordinating training seminars, workshops, and company-wide people initiatives. You will keep our culture vibrant by managing the company calendar and serving as a key backup for office administration to ensure daily operations run smoothly.
