About The Position

We’re looking for a proactive and organised People & Office Coordinator to support our growing People & Office functions across North America. Reporting to the HR Partner, North America, you will be based in our Toronto HQ. You’ll play a key role in delivering a seamless employee experience — providing administrative, operational, and coordination support in office. Requirements

  • 2-3 years' experience in an Office Administrator, Office Manager or Workplace Operations role
  • Proven ability to run office operations end-to-end, in a fast paced environment
  • Excellent organizational and multitasking skills with a strong attention to detail and a high standard of accuracy
  • Organised and proactive, with strong prioritisation and communication skills
  • Team-oriented and approachable, with a passion for people and process excellence
  • Willingness to develop professionally and grow within the People Team

Nice To Haves

  • 1-2 years' experience in an HR Administrator or HR Coordinator role (preferred, but not required)
  • Working knowledge of HR processes, documentation, and systems (preferred, but not required)

Responsibilities

  • Oversee the smooth, safe, and efficient running of the Toronto office, ensuring it's well-maintained, compliant with regulatory requirements, and remains audit-ready
  • Manage relationships with building management, landlords and vendors
  • Oversee office access, security, maintenance, and supplies
  • Manage and coordinate facilities-related projects (moves, fit-outs, improvements, etc.)
  • Manage approvals, budget, payment and stock for office and kitchen services, supplies, and maintenance
  • Manage office communications and notices, keeping the team informed of updates and activities
  • Support C-Suite visitors and global team members when visiting Toronto
  • Liaise with Finance on purchase orders, invoices, and expenses relating to the office
  • Lead and maintain all health and safety procedures, including first aid, risk assessments and fire safety
  • Create a welcoming, inclusive and safe office environment that reflects Sokin's culture and values
  • Be a friendly, trusted point of contact for People and Office related queries, escalating where needed
  • Plan and deliver internal events in Toronto, including monthly socials, seasonal parties, onboarding sessions, and leadership visits
  • Liaise with regional office managers and teams to support the coordination of global events, such as regional offsites, town halls, and cross-office gatherings, in partnership with the People team and Marketing (Brand) team
  • Own event logistics end-to-end: venues, catering, suppliers, and day-of execution
  • Help deliver consistent communication across the region, reinforcing our culture and values
  • Support the onboarding and offboarding lifecycle for employees, ensuring a high-touch, professional experience
  • Act as the central lead between People Ops, Hiring Managers, and IT to ensure equipment and induction schedules are delivered flawlessly
  • Support and lead on specific People projects as requested by the HR Partner taking initiative on delivery and reporting
  • Cross-collaborate and work with the People team across the globe to align on global processes, share best practices, and ensure consistent HR processes and employee experience
  • Provide ad-hoc support to the wider People and Talent Acquisition (TA) teams as requested
  • Support the regional Office Managers and People Team on social events, office-wide celebrations, and the "look and feel" of the physical workspace
