About The Position

The People and Culture Coordinator (Band 1 MKR) plays a crucial role in supporting the Mauna Kea Resort's People and Culture Office. This position involves a variety of administrative and coordination tasks to ensure the smooth operation of HR functions, employee engagement, and office management. The role requires strong organizational skills, excellent communication, and a friendly, hospitable personality to effectively interact with team members and leadership.

Requirements

  • High school diploma or equivalent.
  • Demonstrate diplomacy, creativity, organizational skills, and a friendly and hospitable personality.
  • Strong administrative skills.
  • Strong communication (written/verbal) skills.
  • Ability to multi-task.
  • Must be a self-starter.
  • Ability to use a computer with Resort’s word and spreadsheet programs, e-mail, human resources and payroll programs and other software or programs required.
  • Ability to use the telephone.
  • Ability to use various office equipment including but not limited to calculators, photocopiers and facsimile machines.
  • Must be able to prioritize and organize workload to ensure deadlines are met.
  • Able to stand and walk to travel through the resort and conduct observations and orientation.
  • Able to sit, bend, reach to do administrative duties.
  • Able to lift and carry up to 25 lbs.
  • Must have strong verbal and written communication skills.
  • Must be able to speak to large groups to do training or presentations.
  • Must be able to effectively communicate over the telephone and in person.
  • Able to write memos and procedures.

Responsibilities

  • Manage and coordinate all Team Member events.
  • Provide administrative support to the People and Culture Office under the direction of leadership.
  • Assist in the day-to-day activities of People and Culture, including employment, training, and employee relations.
  • Distribute incoming and outgoing mail.
  • Create and distribute flyers and memos as directed.
  • Answer the phone and respond to or refer inquiries.
  • Order and stock supplies and forms.
  • Assist the Director or People and Culture Manager with daily activities, special projects, and reports.
  • Manage and coordinate employee sports, social, or recognition events and incentive programs.
  • Conduct meetings for organizing employee events or programs.
  • Research, recommend, and determine budgets for employee-related activities.
  • Orient employees on eligible benefits and process enrollments, changes, claims, and terminations.
  • Process billings and ensure timely payment of benefit premiums.
  • Administer the FMLA process.
  • Conduct new hire processing related to benefits and/or recruitment.
  • Assist the Benefits Manager in coordinating benefits-related events.
  • Administer the Daily Buzz.
  • Open the office daily, answer the telephone, and take messages.
  • Respond to correspondence and inquiries; complete verification forms.
  • Process hotel room request forms and assist employees with HR-related requests.
  • Post notices and update hotel bulletin boards.
  • Maintain department files and correspondence.
  • Assist other positions within the department.
  • Keep the office clean and tidy.
  • Order and stock supplies and forms, including handbooks.
