About The Position

The Contract Administrator provides administrative and coordination support to the Contracts Department in the preparation, documentation, and maintenance of customer agreements and related contractual records. This role assists with contract lifecycle activities including document preparation, file management, and internal coordination of contract requirements. The position is designed as an entry-level opportunity for individuals interested in developing foundational knowledge in commercial contracting and business operations within the aviation maintenance industry.

Requirements

  • Minimum of 1 year combined education, Airline, MRO, OEM or other relevant experience with at least 1 year in a contract administrative support role.
  • High school diploma or GED.
  • Bachelor’s degree and 1-year relevant contract administrative support experience, OR Associate’s degree in business or related course work and 3 years of relevant experience OR 5 years of relevant contract administration support experience.
  • Demonstrated proficiency with Microsoft office software.
  • Strong organizational, analytical, written, and verbal communication skills.
  • Knowledge of legal, financial, accounting and standard of business practices related to contracts.
  • Ability to follow and/or develop written instructions, work independently and handle multiple tasks simultaneously in a fast-paced environment.
  • Positive, flexible and service-oriented attitude toward internal and external customers.
  • Proficiency in the operation of Microsoft Office products (including Excel, Access, Word and PowerPoint).

Nice To Haves

  • Contract administration experience in an Airline, MRO or OEM environment.
  • Advanced degree and/or formal training in Business, Finance or Marketing.

Responsibilities

  • Participate in training on basic contract principles, including contract structure, legal interpretation, and document standards.
  • Develop foundational understanding of commercial contracting practices within the aviation maintenance industry.
  • Maintains electronic and physical contract files and ensure accurate record retention.
  • Organize executed agreements and supporting documentation for audit readiness.
  • Assist with updating contract databases and internal tracking systems.
  • Assists Contracts and Product Line Management with the flow of contract requirements, document execution, clarifications and data gathering.
  • Works in coordination with Contracts management to incorporate alternative language and modifications to documents as directed.
  • Maintains electronic and hard copy files pertaining to all contractual documents in accordance with company guidelines and standards.
  • Assist with preparation and formatting of customer agreements, amendments, and related contractual documents.
  • Assists with preparation of management reports. Assists Contract and Finance Management with audit, investigation, research and resolution of contract compliance issues.
  • Other duties as assigned.
