About The Position

We are seeking a detail-oriented Contract Administrator to join our Sacramento team. In this role, you will play a critical part in supporting project execution through comprehensive contract administration, ensuring compliance with contractual, legal and regulatory requirements. The ideal candidate is a proactive, highly organized professional who thrives in collaborative, dynamic environments and leverages effective communication skills to manage agreements and support a diverse portfolio of public and private projects.

Requirements

  • 5 years’ of construction industry experience managing contract administration or similar role.
  • Strong written and verbal communication skills, able to communicate with internal and external personnel of all levels.
  • Proficient in Microsoft Office and Acrobat Adobe. Able to learn new program quickly.
  • Self-motivated and accountable, with the ability to effectively prioritize and manage workload independently.
  • Highly organized and skilled in time management to meet deadlines and priorities.
  • Proactive and resourceful, taking initiative to resolve issues and drive tasks forward.
  • Analytical and detail-oriented, ensuring accuracy and compliance in all documentation.
  • Ethical and diligent, maintaining integrity and professionalism in all business dealings.

Responsibilities

  • Prepare and process subcontract agreements and purchase orders.
  • Compare and help manage subcontract execution process, including internal coordination and governance.
  • Understand the contractual requirements of project documents for both prime contract and subcontract administration.
  • Coordinate legal review and governance in accordance with project requirements.
  • QC/review project documents and procedures for alignment with prime contract.
  • File preliminary notices for projects.
  • Order insurance for new and existing projects. (Ensure project insurance is up to date)
  • Understand and apply OCIP policies.
  • Manage Good Faith Effort (GFE) outreach by posting ads, sending solicitations, conducting phone and email follow-ups and assembling complaint submittal packages for agency review.
  • Assist Estimating team with bid closings and other preconstruction tasks.
  • Prepare project files and assist Estimators with various other tasks.
