About The Position

The Payroll Technician performs general payroll duties and completes normal and recurring tasks related to payroll reporting and processing. This role is responsible for general payroll activities as part of the biweekly payroll process, special pay runs, and the payroll reporting process. The technician will update and calculate payroll records by processing various payroll documents and materials, research discrepancies to ensure accuracy, and respond to general inquiries regarding employee pay. They will also process and monitor retention programs, provider incentives, and other incentive programs, prepare reports by compiling summaries of payroll data, and prepare payroll files to maintain accurate employee payroll records. Additionally, the role involves retrieving and importing payroll data from the timekeeping system, auditing timecards, schedules, and set-ups to ensure correct calculations, and preparing various payroll and accounting records. The technician will also prepare governmental reports, assist with quarterly and year-end balancing, reconcile statutory withholding accounts, and assist in responding to inquiries from state and federal agencies. Adherence to the Attendance and Absenteeism Policy and the ability to work at any FHCN location are also required.

Requirements

  • Possesses proficiency in written and verbal communication, basic mathematics, computer applications, and technical systems.
  • Completion of an Associate’s Degree program with a recognized major and a minimum cumulative GPA of 2.5; OR a combination of relevant experience and completion of a high school diploma with a minimum cumulative GPA of 2.5, or General Educational Development (GED) with a minimum overall score of 162.5, and healthcare-related knowledge frequently acquired through completion of a trade school, para-professional, or certificate type program.
  • If an individual has completed a degree at a higher level than required by the role and had a stronger GPA in that program, they may provide proof of GPA from that degree in lieu of the high school diploma or Associate’s degree.
  • A minimum of two years of clerical or administrative responsibility in payroll, human resources, or accounting.
  • User knowledge of payroll-related technologies, databases, spreadsheets, and reporting requirements.
  • A minimum credit score of 650.
  • Ability to prepare more complex documents in Microsoft Word, including creating tables, charts, graphs, and other elements.
  • Ability to use Microsoft Excel to review and compile data, including formulas, functions, lookup tables, and other standard spreadsheet elements.
  • Ability to create introductory & informative presentations in Microsoft PowerPoint.
  • Job duties require compiling information prepared in effective written form, including correspondence, reports, articles, or other documentation.
  • Effectively conveys technical information to non-technical audiences.
  • Regularly required to sit and use repetitive hand movements to type and grasp.
  • Frequently required to stand or walk.
  • Occasionally lift and move up to 20 pounds.

Responsibilities

  • Performs general payroll activities as part of the biweekly payroll process, special pay runs, and the payroll reporting process.
  • Updates and calculates payroll records by processing various payroll documents and materials (e.g., timesheets, final terminations checks, wage orders, supplemental checks, stipends, leave integrations and payments, FMLA, etc.).
  • Researches discrepancies in payroll information and documentation to ensure accuracy and adherence to procedures before payroll processing.
  • Responds to general inquiries from staff and the accounting and human resources department regarding employee pay issues or questions.
  • Processes and monitors retention programs, provider incentives, and other incentive programs.
  • Prepares reports by compiling summaries of payroll data.
  • Prepares payroll files to maintain accurate employee payroll records.
  • Retrieves and imports payroll data from the timekeeping system into the payroll module.
  • Audits timecards, schedules, set-ups, etc., to ensure employees' accruals and wages are correctly calculated.
  • Prepares payroll and accounting records, including missing punch, meal break, and rest break violation reports, weekly supervisors reports, overtime reports, unpaid leave/hours reports, and interim and biweekly payroll tax extracts.
  • Prepares governmental reports (IRS Form W2s, 940, 941, etc.).
  • Assists the Payroll Manager with the quarterly and year-end balancing process, including reviewing and filing all federal, state, and local quarterly tax filings.
  • Performs monthly reconciliation of all statutory withholding accounts for state and federal payroll taxes and related accounts, such as garnishments and voluntary contribution accounts.
  • Assists the Payroll Manager with creating, reconciling, and filing all W2s in paper and electronic formats.
  • Prepares reports and data files for audits and legal proceedings.
  • Prepares a monthly Worker’s Compensation report.
  • Prepares and reconciles biweekly withholding for 403(b) and 457(c) payroll contributions.
  • Assists the Payroll Manager in responding to inquiries & notices from state and federal agencies.
  • Adheres to the Attendance and Absenteeism Policy.
  • Presents to and works at any FHCN location based on business need.
  • Performs other duties as assigned.
