About The Position

The Supervisor, Shared Services is responsible for supervising a team of Payroll Specialists to ensure the seamless execution of payroll processes within our Global Business Services environment. The Supervisor role is integral to delivering accurate and timely payroll services to business operations, driving standardization and optimization of payroll processes across their responsible payroll processes.

Requirements

  • Bachelor's Degree in Human Resources, Business Administration, Accounting, or a related field or an equivalent combination of education and/or experience
  • At least 5 years of related work experience in payroll management.
  • Advanced knowledge of Payroll and taxation practices and processes in the region or country the role is based.
  • Strong understanding of payroll technologies and practices used in a Managed Services environment
  • Exceptional communication skills across all organizational levels and diverse cultures; experienced in consulting, stakeholder engagement, and solution development
  • Strong client-facing expertise with proven ability to lead cross-functional teams and manage internal stakeholders and external vendor partnerships
  • High attention to detail with a consistent track record of delivering accurate, high-quality work
  • Demonstrated ability to prioritize, multitask, and execute effectively in fast-paced, high-pressure environments
  • Trusted to handle sensitive, confidential, and proprietary information with discretion and integrity
  • Advanced analytical abilities combined with excellent written and verbal communication skills

  • In depth knowledge of shared services processes, methodologies and best practices
  • Managing end-to-end payroll processes for up to two countries (US and Canada), including the development and implementation of payroll systems
  • Ensuring Compliance: Making sure payroll practices comply with relevant laws and tax obligations
  • Supervising Payroll Staff to include hiring, training, and managing payroll specialists
  • Coordinating with Other Departments: Collaborating with HR, Benefits and Finance teams to process payroll for new employees and monitor payroll schedules
  • Resolving Payroll Issues: Addressing and resolving any payroll-related errors or discrepancies
  • Preparing Reports: Generating reports for quarterly, yearly, monthly, bi-weekly and weekly payroll activities
  • Lead Year-End processing and reconciliations.
  • Risk Management: Identify and mitigate risks associated with vendor relationships, including financial, operational, and compliance risks
  • Communication and Collaboration: Maintain open and frequent communication with vendors to address issues promptly and foster strong relationships
  • Compliance Tracking: Ensure vendors and payroll team comply with SOX and Ball’s internal controls policies. Ensure robust internal controls are followed and evidenced. This includes verifying adherence to financial reporting standards, maintaining accurate records, and following established policies and regulations to mitigate risks and ensure transparency.
  • GDPR Compliance: Implement robust data protection for payroll information, including names, addresses, bank details, and salaries
  • Continuous Improvement: Regularly review and improve vendor management processes to enhance efficiency and effectiveness

  • Certified Payroll Professional (CPP) preferred
  • Skilled in ADP Global View and ADP Workforce Now preferred.

Responsibilities

  • Oversee Payroll Operations (US and Canada): Supervise the end-to-end execution of payroll tasks, ensuring adherence to established procedures, timelines, and compliance requirements.
  • Team Leadership: Lead, mentor, and supervise a team of analysts and coordinators, providing guidance, coaching, and support to ensure their success and professional growth.
  • Performance Monitoring: Monitor team performance and individual contributions, conducting regular performance assessments and providing constructive feedback. Foster a collaborative and high-performance team culture with a focus on operational excellence and continuous improvement.
  • Cross-Functional Collaboration: Collaborate with cross-functional leadership teams to align processes with overall business objectives, driving continuous improvement and operational excellence.
  • Process Optimization: Identify payroll process inefficiencies and opportunities for optimization, leading the implementation of process improvements. Optimize processes for scalability, accuracy, and responsiveness using automation and technology wherever possible.
  • Culture Building: Foster a culture of accountability, ownership, and teamwork within the team.
  • Documentation Management: Establish and maintain comprehensive payroll process documentation, including standard operating procedures (SOPs), workflows, and process maps, to ensure consistency and knowledge sharing.
  • Issue Resolution: Act as a point of escalation for complex payroll-related inquiries and issues, working to find effective solutions and resolutions.
  • Stakeholder Engagement: Collaborate with senior internal stakeholders to gather insights and feedback to further enhance payroll execution and service quality.
  • Vendor Management: Manage relationships with external vendors, including service providers, administrators, and third-party platforms.
  • KPI Tracking: Track key performance indicators (KPIs), service metrics, and continuous improvement outcomes.
  • Project Coordination: Coordinate and lead on implementations, mergers and acquisitions (M&A), and divestiture activities.
