About The Position

The Payroll Supervisor is responsible for leading payroll responsibilities, including supervising payroll personnel and overseeing the entire payroll function. This role involves training new employees in the payroll department and conducting annual evaluations of payroll personnel. The supervisor will also assist the Chief Financial Officer and Director of Business in interviewing and hiring payroll personnel. Key duties include managing employee records, updating deductions, balancing timesheets, inputting payroll information, updating salary schedules, issuing wage agreements and contracts, issuing W-2s, correcting county code changes, filing timesheets and other documents, updating annuity and insurance information, and maintaining employee payroll files. The position also requires answering payroll inquiries and reviewing new hire documentation. Additionally, the Payroll Supervisor is responsible for running calculations, checking wages and absences for accuracy, running payroll, transmitting federal and state taxes, sending direct deposit files, and mailing checks. Reporting duties include providing payroll reports to the Director of Business, balancing and processing semi-monthly and monthly payments, generating end-of-month reports for the Accounting Supervisor, reporting to the Teachers Retirement Fund and PERF, submitting quarterly reports to IDETS, and filing Form 941 for the IRS. The role also involves reporting contract changes to the Board and TRET, reporting to Section 125 administration, and filing W-2 information. A monthly report of active employees by group and pulling reports for audits are also required. Other duties include researching information for management and performing other assigned tasks. Responsibilities

  • File timesheets, docks, exceptions, etc. into employee files.
  • Update all annuities, insurance information, Section 125 participation, retirement deductions with each contract year.
  • Maintain all employee hard-copy and software payroll files.
  • Answer all payroll inquiries.
  • Review and approve new hire documentation in Red Rover and print forms for payroll files.
  • Run calculations and check all wages, exceptions, absences for accuracy.
  • Run payroll.
  • Transmit federal and state taxes.
  • Send direct deposit file to bank.
  • Mail checks as needed.
  • Provide payroll report to Director of Business each payroll.
  • Balance & process semi-monthly and monthly payments from clearing accounts.
  • Generate end of month reports to Accounting Supervisor.
  • Report to Teachers Retirement Fund and PERF.
  • Submit quarterly report to IDETS for total wages earned.
  • Submit Form 941 for Internal Revenue Service.
  • Report any contract changes to the Board and TRET.
  • Report to Section 125 administration, eligible employees at beginning of year.
  • File and report all W-2 information.
  • Maintain and provide a monthly report of active employees by employee group.
  • Pull reports and documents for audit.
  • Research information for the Chief Financial Officer or Director of Business.
  • Perform other duties as assigned by the Chief Financial Officer or Director of Business.
