About The Position

We are looking for an experienced Payroll Specialist to join our team and own the day-to-day administration of our U.S. and international payrolls through Rippling. In this role, you will be our go-to payroll expert, responsible for ensuring employees are paid accurately and on time while helping us build payroll processes that can scale as our company grows. You will manage payroll processing across multiple jurisdictions, own payroll tax and unemployment account administration, and help ensure we meet our payroll-related compliance requirements. You will be the operational owner of a payroll function employees and internal teams can rely on. Payroll is accurate and on time across our global workforce, payroll tax accounts and notices are proactively managed, and issues are identified and resolved before they become larger problems. You will work closely with HR, Finance, and Accounting to connect employee changes, payroll operations, tax compliance, and financial reporting. This is an individual contributor role with meaningful ownership of a growing, multi-jurisdiction payroll function.

Requirements

  • 5+ years of payroll experience, or equivalent experience demonstrating the ability to independently manage complex, full-cycle payroll.
  • Demonstrated experience independently managing multi-state U.S. payroll.
  • Experience managing state withholding and unemployment accounts, registrations, notices, and related payroll tax requirements.
  • Experience supporting payroll across multiple jurisdictions; international payroll experience is a plus.
  • Working knowledge of federal, state, and local payroll tax filings, remittances, and year-end requirements.
  • Strong attention to detail and the ability to identify and resolve payroll discrepancies.
  • Experience partnering across HR, Finance, Accounting, or similar cross-functional teams.
  • Ability to manage multiple payroll calendars, deadlines, and priorities.
  • Sound judgment when handling confidential employee and compensation information.
  • Strong communication and problem-solving skills, with the ability to work effectively across teams, locations, and cultures.

Responsibilities

  • Manage accurate and timely payroll processing for our global workforce through Rippling.
  • Manage payroll calendars and deadlines across multiple countries and jurisdictions.
  • Review payroll changes, registers, and reports for accuracy before each payroll.
  • Validate new hires, terminations, compensation changes, bonuses, deductions, and other payroll-impacting transactions.
  • Research and resolve payroll discrepancies and employee questions.
  • Maintain accurate payroll records and documentation.
  • Support year-end payroll activities and employee tax reporting across applicable jurisdictions.
  • Help improve, document, and scale payroll processes as the company grows.
  • Manage state withholding, unemployment, and applicable local payroll tax accounts.
  • Establish payroll tax registrations as we hire in new jurisdictions.
  • Review and resolve payroll tax notices and agency correspondence.
  • Monitor payroll tax filings and payments administered through Rippling.
  • Support federal, state, local, and applicable international payroll compliance requirements.
  • Coordinate statutory payroll deductions and employer contributions for the global workforce.
  • Stay current on payroll requirements and help implement necessary process or system changes.
  • Partner with the Accounting team and external advisors on complex payroll tax and international tax matters.
  • Work closely with HR to ensure approved employee changes are accurately reflected in payroll.
  • Coordinate payroll impacts related to benefits, leaves, compensation changes, bonuses, and other employee programs.
  • Partner with Finance and Accounting on payroll funding, reporting, reconciliations, and month-end activities.
  • Partner with the Accounting on payroll tax accounts, registrations, notices, and compliance matters.
  • Support internal and external audits.
  • Maintain strong payroll controls and appropriate segregation of duties.
  • Protect confidential employee, compensation, tax, and payroll information.
