About The Position

The Payroll Specialist is responsible for the accurate and timely processing of multi-state payroll, ensuring compliance with applicable federal, state, and local employment laws, and managing EEO-1 compliance obligations across all jurisdictions in which the company operates. This role owns the company's EEO-1 reporting process and serves as a subject matter expert on workforce data, pay equity, and regulatory filings.

Requirements

  • 3–5+ years of payroll processing experience, including multi-state payroll
  • Demonstrated experience managing EEO-1 filings independently
  • Strong knowledge of federal and state wage and hour laws (FLSA, state-specific requirements)
  • Proficiency with payroll/HRIS platforms (ADP, Paycom, Paylocity, Ceridian, or similar)
  • Advanced Microsoft Excel skills (pivot tables, VLOOKUPs, data validation)
  • High degree of accuracy and attention to detail with ability to meet strict deadlines
  • Strong analytical and problem-solving skills with the ability to interpret regulatory guidance

Nice To Haves

  • CPP (Certified Payroll Professional) or FPC (Fundamental Payroll Certification) designation
  • Experience with EEO-1 Job audits and adjacent filings in multiple states
  • Experience in a multi-entity or multi-FEIN environment
  • Bachelor's degree in Accounting, Business Administration, Human Resources, or related field

Responsibilities

  • Assist in processing full-cycle payroll (weekly) for employees across multiple states using ADP Workforce Now
  • Ensure accurate calculation of wages, overtime, bonuses, garnishments, and deductions
  • Reconcile payroll accounts and resolve discrepancies in a timely manner
  • Maintain payroll records in accordance with federal and state retention requirements
  • Coordinate year-end processes including W-2 preparation, ACA reporting, and tax filings
  • Ensure compliance with state-specific wage and hour laws, including pay frequency, final pay, pay stub requirements, and minimum wage changes
  • Own the end-to-end EEO-1 Component 1 filing process, including data collection, validation, submission, and recordkeeping
  • Classify employees accurately by EEO job category, race/ethnicity, and gender in accordance with EEOC guidelines
  • Coordinate with HR, payroll, and HRIS teams to ensure workforce data is complete and accurate throughout the year
  • Monitor EEOC announcements and portal updates to ensure timely and compliant filing
  • Maintain supporting documentation for EEO-1 submissions and respond to audit inquiries
  • Assist with additional regulatory workforce reports as required (OJT, Job audit Coordination, EEO-1 Meetings, Job site meetings)
  • Stay current on federal, state, and local employment law changes that impact payroll and compliance obligations
  • Maintain and update the company's compliance calendar for all regulatory deadlines
  • Partner with HR and Finance on compliance audits, government inquiries, and internal process improvements
  • Train HR and management staff on compliance topics as needed
  • Assist with special projects including HRIS implementations, mergers/acquisitions, and policy updates
