Requirements

  • A minimum of a four-year BA/BS degree in Accounting, Finance, or General Business.
  • A minimum of seven years of payroll administration experience including health, disability, life, and 401(k) as well as ancillary benefits.
  • Experienced with processing multi-state payroll.
  • Customer service oriented in a high growth, high touch organization.
  • Accuracy, time management, and timely follow-up.
  • Proficient with Microsoft Office suite tools and able to quickly adapt to other Finance and Accounting systems (Oracle Fusion, ADP).
  • Working knowledge of payroll systems, with experience with ADP preferred.
  • Highly organized and detail-oriented with a high degree of accuracy.
  • Experience completing payroll journal entries and month-end payroll reconciliation.
  • An understanding of accounting principles.
  • Ability to multi-task, handling payroll processing, benefits projects, and ad hoc requests timely and accurately.
  • Capable of quickly comprehending new information and technologies.
  • Capable of working in a fast-paced environment.
  • Strong communication skills, comfortable working with operations teams/non-accounting professionals.
  • Ability to keep payroll and Human Resource information confidential.
  • Possess a high degree of trust and integrity, communicate openly, and display respect with a desire to foster teamwork.

Responsibilities

  • Support payroll administrations across multiple business segments and ensure compliance for a remote workforce across multiple states outside of Washington State.
  • Process international payroll and benefits in the UK.
  • Timely and accurately process multi-state payroll withholding and remittance of payroll taxes, including federal, state, and local taxes, and any amendments as needed.
  • Understand proper taxation for employer-paid benefits for multi-state payrolls.
  • Track multi-state payroll/benefits compliance year-round (e.g., PTO, overtime), provide employee communications, and assist with completing year-end compliance requirements.
  • Review and incorporate any multi-state payroll/benefits required disclosures in annual open enrollment materials, benefits summaries, certifications, and contracts for accuracy, and distribute required documents for compliance.
  • Prepare bi-weekly multi-state payroll and benefits reconciliation, conduct quarterly W-2 reviews, and perform internal benefits audits to ensure data integrity.
  • Calculate tax gross-up related to relocation.
  • Calculate workers' compensation and quarterly Washington State L&I owed.
  • Assist with internal and external audits, including workers' compensation, insurance audits, L&I, DOL, 401K, GAAP financial, and other compliance audits.
  • Support benefits and leave administration, including health, disability, life, and 401(k) as well as ancillary benefits.
  • Assist with annual open enrollment, new hire enrollments, and qualifying life events/benefit changes.
  • Partner with the benefits broker to support insurance claims and general troubleshooting.
  • Support leave eligibility and calculations, partnering with vendors, insurance carriers, and the benefit broker to resolve issues such as billing and claims.
  • Perform payroll/benefits reconciliation per internal procedures and identify and resolve payroll issues timely.
  • Assist with onboarding new employees, including leading new hire orientation, explaining benefits, policies, and systems, preparing new hire packets, and following up post-orientation.
  • Assist with offboarding terminating employees in ADP, completing HR termination template requests, submitting insurance carrier templates, and notifying the COBRA vendor if needed.
  • Adhere to compliance calendar deadlines.
  • Submit internal communications and update benefit notifications/materials to the TP Web.
  • Support HRIS integration with ADP, including routine cross-checks of HR information in HRIS with ADP employee records.
  • Assist with employee questions/changes for direct deposit, tax withholding allowances, qualifying life events, and benefit changes.
  • Identify opportunities for process and systems improvements.
  • Assist with any ad hoc projects as needed.
