About The Position

We are seeking a highly experienced Payroll Optimization Consultant with deep expertise in the Paychex platform, payroll operations, payroll accounting, and process improvement. This role will be responsible for assessing, optimizing, and enhancing payroll processes, system configurations, reporting, controls, and integrations to ensure payroll accuracy, compliance, efficiency, and scalability. This is a fully remote role. The ideal candidate will possess extensive hands-on experience with Paychex payroll systems, including general ledger integrations, payroll accounting workflows, process documentation, standard operating procedures (SOPs), internal controls, and system optimization. This individual will serve as a strategic advisor and subject matter expert, identifying opportunities to streamline payroll operations while implementing industry best practices and automation. This position is ideal for a payroll professional who combines technical expertise, operational excellence, accounting knowledge, and strong project management skills.

Requirements

  • 7+ years of progressive payroll experience.
  • 5+ years of direct Paychex administration and optimization experience.
  • Extensive experience configuring and managing payroll system integrations.
  • Proven experience mapping payroll data to general ledger structures.
  • Strong payroll accounting and reconciliation experience.
  • Demonstrated experience creating payroll SOPs, process documentation, and operational workflows.
  • Experience conducting payroll audits, assessments, and process improvement initiatives.
  • Experience supporting multi-state payroll environments.
  • Strong understanding of payroll compliance requirements and payroll tax regulations.
  • Advanced Paychex system expertise.
  • Payroll accounting and general ledger integration experience.
  • Financial reporting and reconciliation expertise.
  • Advanced Microsoft Excel skills including pivot tables, lookups, formulas, and data analysis.
  • Process mapping and workflow documentation.
  • Payroll tax and compliance knowledge.
  • Project management methodologies and tools.

Responsibilities

  • Conduct comprehensive reviews of current Paychex payroll configurations, workflows, controls, and reporting structures.
  • Evaluate payroll processes to identify inefficiencies, compliance risks, manual workarounds, and automation opportunities.
  • Recommend and implement best-practice payroll processes that improve accuracy, reduce processing time, and enhance employee experience.
  • Optimize earnings codes, deduction codes, tax settings, labor allocations, department structures, cost centers, and reporting capabilities.
  • Review payroll calendars, approval workflows, audit procedures, and payroll controls.
  • Ensure payroll system configuration supports organizational growth and changing business requirements.
  • Serve as the Paychex subject matter expert for payroll operations and system functionality.
  • Configure and maintain Paychex payroll settings, security roles, workflows, earning and deduction codes, and organizational structures.
  • Assess utilization of existing Paychex functionality and recommend enhancements to maximize system capabilities.
  • Identify opportunities to automate payroll administration and reduce manual processing efforts.
  • Support implementation of new Paychex modules and functionality where applicable.
  • Assess and optimize payroll-to-general ledger integration processes.
  • Design, configure, and validate payroll journal entry mapping between Paychex and accounting systems.
  • Ensure payroll expenses, taxes, benefits, commissions, and deductions are accurately allocated to appropriate general ledger accounts.
  • Reconcile payroll data to financial statements and accounting records.
  • Develop procedures for payroll accounting controls, balancing, and monthly close activities.
  • Partner with Finance and Accounting teams to improve payroll reporting and financial visibility.
  • Validate integration accuracy through testing, reconciliation, and audit procedures.
  • Develop comprehensive payroll SOPs covering all payroll processes and workflows.
  • Create process maps, training materials, workflow documentation, and control procedures.
  • Document payroll calendars, deadlines, approval processes, audit procedures, and escalation protocols.
  • Establish repeatable processes that support consistency, compliance, and business continuity.
  • Create payroll governance documentation and operational playbooks.
  • Evaluate payroll compliance practices related to federal, state, and local regulations.
  • Review payroll controls to ensure compliance with wage and hour requirements, tax regulations, garnishments, and payroll reporting obligations.
  • Identify potential compliance gaps and recommend corrective actions.
  • Implement payroll audit procedures and internal controls to minimize organizational risk.
  • Support preparation for payroll-related audits and compliance reviews.
  • Develop and optimize payroll reporting dashboards and management reports.
  • Create reporting solutions that provide visibility into payroll expenses, labor costs, overtime, benefits, taxes, and workforce trends.
  • Design reconciliation reports to support payroll accounting and audit requirements.
  • Provide executive-level recommendations based on payroll analytics and operational data.
  • Conduct payroll process audits and maturity assessments.
  • Benchmark payroll practices against industry standards and best practices.
  • Recommend process improvements that enhance efficiency, compliance, scalability, and employee service levels.
  • Lead implementation of payroll process enhancements and system optimization initiatives.
  • Facilitate change management and user adoption efforts.
  • Lead payroll optimization projects from assessment through implementation.
  • Develop project plans, timelines, deliverables, and stakeholder communications.
  • Coordinate with HR, Finance, Accounting, Benefits, IT, and Paychex representatives.
  • Manage testing, validation, training, and post-implementation support activities.
