About The Position

Basis Technologies is looking for a Payroll and Office Operations Specialist to join their growing US team in Irving, Texas. This is a varied, hands-on role for someone who enjoys ownership and doesn't want a job that fits neatly into one box. The specialist will be the go-to person for US payroll tax compliance, working closely with the UK-based Payroll Manager to keep filings, registrations and notices on track across every state. Alongside this, they will keep the Irving office running smoothly by onboarding new starters, managing building access, coordinating equipment with the IT team, and being the first point of contact for day-to-day office needs. It's a role built on trust and initiative, working closely with Payroll, HR, IT and Finance teams.

Requirements

  • Demonstrable knowledge of US payroll tax compliance, ideally across multiple states
  • Prior experience in a small or scaling office environment
  • Comfortable liaising directly with tax authorities and resolving notices independently
  • Experience registering and maintaining payroll tax accounts
  • A hands-on, adaptable approach, equally comfortable with compliance detail and everyday office logistics
  • Strong organizational skills and comfortable managing a varied workload
  • Based in, or able to work on-site in, Irving, Texas

Nice To Haves

  • Experience with HiBob or a similar HR/payroll platform
  • Experience supporting employee benefits administration

Responsibilities

  • Manage federal, state and local payroll tax compliance across multiple states
  • Prepare and submit quarterly and annual payroll tax filings
  • Register and maintain payroll tax accounts as the company grows into new states
  • Administer unemployment taxes (SUTA and FUTA) and state or local withholding filings
  • Respond to tax notices and liaise directly with tax authorities
  • Support payroll tax audits and compliance reviews
  • Manage day-to-day office operations, including supplies, mail and vendor coordination
  • Support new-hire onboarding and employee offboarding, including building and system access
  • Administer visitor and building access, and represent Basis in building-required training
  • Coordinate in-office events and support the Marketing team with in-office logistics
  • Support company-wide initiatives such as volunteer days and DEI programs
  • Manage laptop and mobile phone inventory in coordination with the IT team
  • Administer the office mobile phone and voicemail system
  • Provide light-touch IT support for office events and meeting rooms
