About The Position

The Payroll Unit is responsible for the accurate and timely collection and reporting of hours worked and leave taken by DOC employees in accordance with the Federal Fair Labor Standards Act, Family Medical Leave Act, State Personnel Rules, and DOC Administrative Regulations. The Work Unit oversees timekeeping practices for approximately 6,200 employees statewide and advises employees, supervisors, managers, etc., using the UKG products and programs. This Work Unit advises and trains DOC employees on rules and procedures regarding timekeeping and leave usage within the UKG systems and troubleshoots issues. This Work Unit supports the Department of Corrections to facilitate achieving its goals and objectives and upholds the spirit and letter of Colorado law, Equal Employment Opportunity laws, and philosophy of the DOC administration.

Requirements

  • Five (5) years of relevant experience in Finance, Business Administration, Public Administration, Data Management or a related field of study to the assignment.
  • A combination of related education and/or relevant experience in Finance, Business Administration, Public Administration, Data Management equal to five (5) years.

  • Possess a valid driver’s license.
  • Possess a high school diploma or GED
  • Have NO felony convictions, to include any actions defined in 5 U.S.C. 301; U.S.C. 509, 510; 42 U.S.C. 15601-15609.
  • The CDOC shall not hire nor promote anyone who may have contact with an offender who has engaged in sexual abuse which includes acts, activity, and sexual behavior, in a prison or other institution as defined in 42 U.S.C. 1997; or has been convicted of engaging or attempting to engage in sexual activity in the community facilitated by force, overt or implied threats of force or coercion, or if the victim did not consent or was unable to consent or refuse, or has been civilly or administratively adjudicated to have engaged in the activity described in the above paragraph.
  • Applicants must have valid U.S. work authorization at the time of application; DOC cannot provide H-1B sponsorship at this time.
  • Successfully pass all modules of the six-week Colorado Department of Corrections Basic Training, to include English reading comprehension , relevant competency assessments and written/practical exams in Defensive Tactics.
  • Possess the physical ability to successfully complete Defensive Tactics
  • Must be able to see and hear in order to observe, address and respond to potential breaches in safety and security
  • Demonstrate body agility, strength of all four limbs and the ability to walk and climb stairs consistently
  • Deal with individuals with a range of moods and behaviors, utilizing tactfulness and a congenial, personable manner
  • Work with people of the opposite sex, diverse racial ethnic groups, mentally ill and emotionally disturbed offenders
  • Communicate by talking, listening and/or signaling people to convey or exchange information, assignments
  • Work in an environment with fluctuating noise and temperature (hot and cold) which may include working outdoors in inclement weather and/or concrete floor/wall work settings
  • Willing and able to travel
  • Willing and able to work various shifts, days, afternoons, graveyards (nights) which includes a rotating shift schedule
  • TB (tuberculosis) screening is required of all new employees upon hire
  • Successful completion of a background investigation is required.

Responsibilities

  • Advise DOC employees and/or supervisors on rules, regulations, and procedures regarding payroll-related policies, procedures, and practices to accomplish entry into the official DOC Timekeeping system in accordance with State of Colorado Fiscal Rules, State of Colorado Board Rules, Fair Labor Standards Act and DOC Administrative Regulations.
  • Audit/examine time entered into the timekeeping system to ensure that minimum requirements of the work period have been met.
  • Make necessary corrections to time entry and shift differential and/or overtime while ensuring accurate payment of shift differential and/or overtime is reflected in the official Payroll system.
  • Enter DOC employees direct deposit information into the official Payroll system and verify it's accuracy.
  • Arrange distribution of any physical checks received to ensure they are provided to employees on the scheduled payday.
  • Investigate employee inquiries regarding missing direct deposits/checks.
  • Determine if a corrective letter needs to be provided to an Appointing Authority if an employee is non-compliant with the requirement to provide direct deposit information.
  • Investigate inquiries from employees regarding possible discrepancies in pay or deductions.
  • Analyze and determine if a correction is necessary and ensure the needed changes are reflected in the Payroll system accurately and timely.
  • Other duties as assigned.
