About The Position

This is specialized clerical work involving the processing of payroll information. An employee in this class is responsible for producing and distributing all payroll disbursements in an accurate and timely manner. The work includes entering pertinent employee payroll data into computerized files; making appropriate calculations pertinent to the payroll process; and communicating with departmental personnel. Duties are performed under the general supervision of the Operations Supervisor. Incumbent works on assigned tasks without close supervision.

Requirements

  • Graduation from an accredited high school
  • Some experience with computer keyboard and terminals
  • Applicable payroll software processing and procedures
  • Use of typewriter and calculator
  • Good knowledge of automated payroll procedures
  • Some knowledge of basic accounting principles and procedures
  • Ability to maintain records for a variety of special programs (recruitment, attendance bonus programs)
  • Ability to maintain detailed, up-to-date records on all staff activities and assignments, as well as prepared payroll schedules, active/inactive employees
  • Ability to work under extreme deadlines
  • Good knowledge of clerical methods and English usage
  • Ability to understand and follow complex oral and written directions and strict conformance to detailed instructions
  • Ability to utilize a computer keyboard and accurately input data at a reasonable speed
  • Ability to communicate effectively with others
  • Ability to work well with others
  • Good judgment, mental alertness, accuracy, and integrity

  • Ability to use Munis software, Microsoft word and excel to assist with payroll processing

Responsibilities

  • Compiling documents to create payroll for data entry
  • Keying payroll worksheet
  • Verifying data entry of payroll worksheets
  • Answering questions, resolving problems and assisting employees with payroll needs
  • Verifies and enters payroll data for the department of over 300, including leave information, budget codes, social security numbers, and proper spelling of names
  • Checks first payroll run for accuracy and makes corrections or adjustments as necessary
  • Submits time to payroll office for employees inadvertently omitted in the regular runs
  • Process payroll “product” to be entered into MUNIS (information is obtained from a variety of sources – dispatch sheets, extra time vouchers, field trip forms, etc.)
  • Monitors and verifies payroll data on the computerized file
  • Responds to inquiries regarding payroll, direct deposit, nonreceipt of check and other payroll-related questions
  • Communicates with department personnel to resolve payroll discrepancies
  • Distributes check to departmental personnel
  • Files sick, vacation and personal leave slips
  • Files evaluations, sick notes
  • Maintain daily sign-in logs for all staff/garage
  • Maintains departmental personnel files
  • Assist all new hires with open enrollment questions, concerns and applications
