Position Summary The Payroll & Benefits Manager oversees end-to-end payroll and benefits administration, ensuring accurate, timely, and compliant processes each cycle. This role combines hands-on management with continuous improvement, partnering closely with HR, Finance/Accounting, Operations, and external vendors to deliver high-quality employee experience. The Payroll & Benefits Manager plays a key role in standardizing processes and supporting the organization’s continued growth.

Requirements

  • Bachelor’s degree required, or equivalent combination of education and at least four additional years of related payroll and benefits experience.
  • A minimum of 6 years of combined payroll and benefits administration experience, including at least 3 years in a management role.
  • Consumer goods or CPG Manufacturing experience is required.
  • Demonstrated experience managing benefits and payroll in a multi-site organization of 500+ employees.
  • Multi-state payroll administration experience preferred.
  • Experience managing leave programs, including FMLA and ADA accommodations.
  • Working knowledge of compliance requirements such as ACA, ERISA, HIPAA, and COBRA.
  • Comprehensive knowledge of employee health and welfare programs, policies, procedures and regulations.
  • Strong knowledge of current payroll and HRIS systems; experience with Paylocity highly preferred.
  • Working experience of payroll taxation at the federal, state, and local/municipal levels.
  • Strong employee relations skills and ability to maintain confidentiality.
  • Advance knowledge of Microsoft Office programs to include Teams, Word, Excel, and PowerPoint.
  • Maintain regular, consistent attendance & punctuality.
  • Must have a flexible schedule that may require occasional nights, weekends, and holidays.
  • Strong analytical thinking with the ability to approach complex business problems and provide data-driven solutions.
  • Excellent verbal and written communication skills with the ability to present complex data insights clearly to both technical and non-technical stakeholders.
  • High level of accuracy and attention to detail when handling and analyzing data.
  • Strong team player with the ability to work in a cross-functional environment and collaborate with multiple departments.
  • Ability to manage multiple projects and deadlines effectively in a fast-paced environment.

Responsibilities

  • Benefits Plan Design and Administration Administration, evaluation, and continuous improvement of employee benefit programs aligned with company objectives and employee needs.
  • Manage benefit programs while ensuring compliance with all applicable federal, state, and local regulations.
  • Develop, document, and maintain benefits-related policies, procedures, and plan documentation.
  • Manage relationships with benefits brokers, vendors, and consultants, ensuring services meet organizational needs.
  • Oversee benefits invoicing, reconciliation, and issue resolution.
  • Partner with the benefits broker to manage annual renewals and cost analysis.
  • Plan and execute successful open enrollment periods.
  • Ensure accurate and timely ACA reporting and required filings.
  • Create and maintain up-to-date internal documentation outlining benefits policies and procedures.
  • Ensure timely, high-quality employee support by responding to benefits inquiries within established service-level expectations.
  • Develop and deliver clear, engaging benefits communications using multiple channels (email, guides, newsletters, videos, and presentations).
  • Create benefits materials to support recruitment, onboarding, and retention.
  • Prepare and maintain benefits content for new hire orientation, open enrollment, and employee meetings.
  • Support the benefit elections process during life events and changes in eligibility.
  • Develop materials explaining benefit options upon loss of eligibility or separation.
  • Manage the company’s 401(k) plan, including ongoing administration and vendor coordination.
  • Coordinate annual fee disclosures and required participant notices.
  • Partner with Finance, Payroll, and external auditors on annual plan audits.
  • Ensure compliance with plan requirements and applicable regulations.
  • Support fiduciary governance, including coordinating committee meetings with plan advisors.
  • Manage end-to-end payroll processing, ensuring accuracy, timeliness, and compliance.
  • Oversee payroll tax setup and compliance for multi-state and out-of-state jurisdictions, including unemployment insurance.
  • Ensure proper recording of payroll transactions within the accounting system.
  • Partner with Finance and Accounting to reconcile payroll data and support audits and reporting.
  • Resolve escalated payroll issues, discrepancies, and employee concerns.
  • Ensure timely processing of all wage garnishments and related deductions.
  • Identify, recommend, and implement payroll process improvements and automation opportunities.
  • Stay current on payroll, wage, and hour laws to ensure ongoing compliance.
  • Support Human Resources with unemployment claims administration, including timely responses, documentation, hearing coordination, and cost management.
  • Manage employment and income verifications in partnership with HR, ensuring accuracy, confidentiality, and timely completion.
  • Partner with HR on audits, compliance reviews, and regulatory inquiries related to payroll, benefits, leaves, and employment status.
  • Manages and develops benefits & payroll team, including hiring, professional development, assignment of work and evaluation of performance.
  • Manage and administer employee leaves of absence, including FMLA, state-paid leave programs, military leave, and company-sponsored leaves.
  • Coordinate with HR, Payroll, managers, and third-party administrators to ensure accurate tracking, documentation, and timely return-to-work processes.
  • Ensure proper pay, benefits continuation, and deductions during leaves of absence.
  • Maintain compliance with federal, state, and local leave regulations.
  • Provide guidance and support to employees and managers regarding leave policies, eligibility, and procedures.
  • Other duties as assigned by supervisor.
