About The Position

Commercial Fire Protection is seeking a detail-oriented Payroll & Administrative Support Specialist to join our team and support HR and administration functions. This role is responsible for assisting with payroll processing, employee record management, and general administrative support to ensure smooth daily operations across departments. The Payroll & Administrative Support Specialist will oversee payroll coordination, maintain accurate employee data, and support HR processes. The ideal candidate is highly organized, analytical, and experienced with payroll systems, HRIS platforms.

Requirements

  • Minimum 1 year of experience in payroll, HR administration, accounting, or a related field
  • Experience with HRIS systems (BambooHR preferred)
  • Proficiency in payroll software (PrimePay, QuickBooks, or similar)
  • Experience with accounting tools such as Bill.com preferred
  • Strong Microsoft Excel and Word skills
  • Solid understanding of payroll processes and basic accounting principles
  • High attention to detail and strong analytical skills
  • Excellent communication and organizational skills

Nice To Haves

  • Bachelor’s degree in Human Resources, Accounting, Business Administration, or related field preferred
  • Experience in a multi-entity or construction/service industry environment
  • Exposure to benefits administration or HR support functions
  • Ability to manage multiple priorities in a fast-paced environment

Responsibilities

  • Ensure timely and accurate submission of employee timesheets
  • Process bi-monthly payroll using payroll software systems
  • Maintain employee payroll records including PTO, vacation, overtime, bonuses, tax adjustments, and wage changes
  • Update and maintain employee personnel files in HRIS and internal systems
  • Assist with onboarding and general HR administrative tasks, including employment documentation
  • Support recruitment and hiring administrative processes as needed
  • Assist with fleet-related administrative tracking and coordination
  • Provide ongoing administrative support to the Controller and leadership team
