About The Position

The Payroll Administrator is responsible for the accurate and timely administration of payroll for multiple locations while serving as a trusted resource for employees throughout the organization. This position manages and maintains the payroll and related employee administration processes, ensuring payroll accuracy, benefit deduction integrity, regulatory compliance, and exceptional employee support. The Payroll Administrator is responsible for managing the process, systems, deadlines, documentation, and controls associated with payroll rather than managing the performance of other employees. Success in this role requires strong technical payroll expertise, attention to detail, sound judgment, and a strong commitment to customer service. Employees at every level of the organization are the customers of the Payroll Department. Every interaction should reflect professionalism, respect, responsiveness, confidentiality, and a genuine commitment to helping employees understand and resolve payroll and benefit-related questions. The Payroll Administrator plays an important role in creating a positive employee experience through accurate, timely, and respectful service. As a knowledgeable resource within the organization, the Payroll Administrator is expected to train, educate, mentor, and support employees and managers on payroll and related employee administration processes. This includes explaining both how and why processes are completed, providing coaching and retraining when necessary, and working collaboratively within operational constraints while ensuring critical process requirements are completed accurately, compliantly, and on time. The Payroll Administrator is expected to lead by example through professionalism, accountability, respect, and exceptional customer service.

Responsibilities

  • Maintains payroll information by collecting, calculating, and entering payroll data.
  • Updates payroll records, including tax exemptions, insurance coverage, deductions, department transfers, and job changes.
  • Prepares payroll reports for earnings, taxes, deductions, leave, disability, and non-taxable wages.
  • Determines payroll liabilities, including federal and state taxes, Social Security, Medicare, unemployment, and workers' compensation.
  • Resolves payroll discrepancies by researching, analyzing, and correcting information.
  • Responds promptly and professionally to payroll questions and requests.
  • Maintains payroll operations by following established policies, procedures, and internal controls.
  • Maintains strict confidentiality of employee payroll and personal information.
  • Processes payroll accurately and on schedule for multiple locations.
  • Reviews timecards, technician hours, payroll records, and employee deductions for accuracy.
  • Reconciles payroll taxes and benefit deductions to ensure accuracy.
  • Ensures timely payment of health insurance, life insurance, retirement contributions, and other payroll-deducted benefits.
  • Reviews and reconciles workers' compensation premiums and annual renewals.
  • Identifies payroll process issues and works with appropriate parties to resolve them.
  • Maintains accurate payroll records and documentation.
  • Performs other payroll-related duties as assigned.
  • Administers ACA reporting requirements through Employee Navigator.
  • Maintains employee benefit information within Paylocity and Employee Navigator.
  • Processes new hires, employment changes, and separations in applicable systems.
  • Coordinates payroll-related benefit enrollments, qualifying life events, and payroll deductions.
  • Maintains an accurate employee census.
  • Shares responsibility with the Human Resources team for maintaining both physical and electronic employee files in accordance with applicable federal and state laws and company record retention requirements.
  • Ensures payroll documentation and employee records remain complete, accurate, organized, and confidential.
  • Assists with compliance-related payroll and benefit documentation.
  • Communicates payroll-related benefit information to employees and assists with questions regarding deductions and elections.
  • Train employees, managers, and department leaders on payroll, timekeeping, benefit administration, Paylocity, Employee Navigator, and related processes.
  • Provide ongoing coaching and retraining when processes are not being followed or when processes or systems change.
  • Help employees understand both how processes are completed and why they are important to payroll accuracy, compliance, benefits administration, and the employee experience.
  • Partner with employees and managers to understand operational constraints and develop practical solutions while ensuring critical process requirements are completed accurately and on time.
  • Develop and maintain training materials, process guides, and job aids.
  • Serve as a knowledgeable resource for employees and managers by providing guidance, answering questions, and helping resolve process-related concerns.
  • Identify opportunities to improve payroll processes, communication, training, and the employee experience.
  • Lead by example through professionalism, accountability, responsiveness, and respect in all interactions.
