About The Position

The Payroll Administrator supports the accurate and timely processing of payroll for a large employee population. This role reviews time and attendance data, prepares payroll adjustments and commissions, and assists with reporting and year-end activities. The position works closely with a Payroll Specialist, serves as a backup payroll processor, and responds to employee inquiries while maintaining strict confidentiality and data security.

Requirements

  • High school diploma or equivalent.
  • Proven experience as a Payroll Clerk or in a similar payroll-focused role.
  • 4+ years of payroll processing experience, preferably handling biweekly payroll.
  • Hands-on experience with payroll processing for a large employee population (approximately 650 employees or similar scale).
  • Familiarity with payroll software and tools such as Paycom, UKG, Paychex, ADP, QuickBooks, or comparable systems.
  • Proficiency in Microsoft Excel and other standard office software.
  • Exceptional attention to detail and high accuracy in data entry and calculations.
  • Strong organizational and time management skills to meet recurring payroll deadlines.
  • Effective written and verbal communication skills for interacting with employees and internal stakeholders.
  • Strong interpersonal skills to handle inquiries and collaborate with the Payroll Specialist and other departments.
  • Ability to handle sensitive and confidential payroll and employee information with discretion and professionalism.
  • Demonstrated ability to learn and adapt to new payroll processes and system workflows.

Responsibilities

  • Review timesheets and attendance records for accuracy and completeness before payroll processing.
  • Send appropriate request forms to divisions for all separation inquiries and support the Payroll Specialist in obtaining completed separation documents.
  • Calculate payroll adjustments, including overtime, bonuses, and deductions, with guidance and direction from the Payroll Specialist.
  • Prepare and calculate commissions and review them with the Payroll Specialist prior to upload.
  • Assist in preparing payroll reports, summaries, and statements for internal use and audit purposes.
  • Respond promptly and professionally to payroll-related inquiries from employees and resolve payroll issues in a timely manner.
  • Reconcile payroll discrepancies and collaborate closely with the Payroll Specialist to investigate and resolve payroll-related matters.
  • Assist and support with year-end payroll processing, including W-2 and other tax-related forms, and communicate with current and former employees regarding their W-2 inquiries.
  • Maintain confidentiality and ensure the security of payroll and employee data at all times.
  • Serve as backup payroll processor to ensure hourly, salaried, and commission-based compensation is processed accurately and on schedule.
  • Support biweekly payroll processing for multiple payroll cycles, helping to ensure payroll is processed every week.
  • Follow established payroll processes and demonstrate a willingness to learn and be trained on internal procedures and systems.
