About The Position

Our client, a leader in the Aerospace industry is currently looking for a Payroll Administrator. The Payroll Administrator processes high-volume bi-weekly payroll for approximately 1,000 unionized and non-unionized employees across Canada. This role manages full-cycle, in-house payroll for both salaried and hourly staff, ensuring accuracy, compliance with legislation, and timely delivery. The Payroll Administrator also prepares reports, handles inquiries from employees and government agencies, and supports year-end and termination activities.

Requirements

  • Minimum 3 years of experience in payroll, including full-cycle payroll processing.
  • Proven in-house payroll processing experience for high-volume environments of approximately 1,000 employees.
  • Experience processing payroll for both salaried and hourly employees.
  • Strong knowledge of Canadian payroll legislation and Canadian Employment Standards Legislation for Ontario and Quebec.
  • Experience with payroll deductions, tax calculations, and payroll reconciliations.
  • Advanced Microsoft Excel skills, including pivot tables and VLOOKUP functions.
  • Strong attention to detail and accuracy in handling large volumes of numerical data.
  • Ability to analyze data, troubleshoot discrepancies, and resolve issues in a timely manner.
  • Strong organizational skills and the ability to manage multiple deadlines in a fast-paced environment.

Nice To Haves

  • Payroll Compliance Practitioner (PCP) designation completed or in progress.
  • Experience with unionized payroll environments.
  • Familiarity with UKG payroll or HRIS software.
  • Experience preparing year-end payroll documentation, including T4s and remittances.
  • Experience responding to inquiries from government agencies related to payroll.
  • Demonstrated ability to work collaboratively within a small payroll team.
  • Bilingual (English French) is an asset but not a must have.
  • Interest in supporting large, complex operations in industries such as aerospace and advanced technology.

Responsibilities

  • Process high-volume bi-weekly payroll for approximately 1,000 employees across Canada, including both union and non-union staff.
  • Compile, verify, and process payroll information in strict compliance with company policies and all applicable legislative requirements.
  • Perform accurate data entry for payroll, including master-file changes, hours input, adjustments, manual updates, special payments, and other compensation-related details.
  • Generate, review, and distribute payroll reports to support internal stakeholders and financial processes.
  • Identify and resolve payroll discrepancies by collecting, analyzing, and reconciling payroll data.
  • Prepare manual payments when required, ensuring accuracy and proper documentation.
  • Create and process financial reports related to payroll, deductions, and reconciliations.
  • Respond promptly and professionally to internal payroll inquiries from employees, providing clear explanations and guidance.
  • Communicate with government agencies as required, including responding to inquiries and providing requested payroll information.
  • Perform payroll balancing procedures to ensure accuracy and completeness of each payroll run.
  • Support preparation and processing of year-end activities, including tax forms such as T4s and related reporting.
  • Execute termination packages, ensuring correct calculation of final pay, vacation, and any other entitlements.
  • Ensure compliance with Canadian payroll legislation and Canadian Employment Standards Legislation for Ontario and Quebec.
  • Support continuous improvement of payroll processes and contribute to a high level of service within the payroll team.
