About The Position

Responsible for the accurate, timely, and compliant processing of multi-state U.S. and Canadian payroll in partnership with a 3rd party payroll processor. This role ensures payroll data integrity, regulatory compliance, timely issue resolution, and strong coordination with HR, Finance, Legal and external payroll vendors.

Requirements

  • 5 years of payroll processing experience and hands-on experience with UKG Pro preferred
  • Experience processing U.S. and Canadian payroll required
  • Strong working knowledge of federal, state, provincial, and local payroll and tax regulations
  • Experience with garnishments, multi-state taxation, and payroll reconciliations preferred
  • Excellent planning and organizational skills
  • Strong attention to detail and ability to manage deadlines
  • Ability to plan and manage multiple projects completely and accurately
  • Ability to effectively work as part of a team
  • Problem analysis and problem resolution skills
  • Good communication skills, both verbal and written
  • Ability to maintain the highest level of confidentiality and
  • Proficient in the use of Microsoft Office (Word, Excel, PowerPoint)

  • Experience with ex-pats and H2A workers preferred
  • CPP certification preferred

Responsibilities

  • Support end-to-end payroll processing in partnership with 3rd party payroll processor
  • Update and maintain payroll processing worksheets and documentation shared with payroll vendor
  • Run payroll integration file from UKG Pro WFM and transmit required data
  • Perform pre- and post- payroll audits to ensure accuracy of time, earnings, deductions, taxes, and garnishments
  • Investigate and resolve payroll discrepancies and employee inquiries
  • Responsible for enforcing payroll policies and assists in development of overall payroll procedures by making recommendations for efficiencies.
  • Monitor payroll processing deadlines and ensure timely completion of required tasks
  • Compiles reports from databases as needed
  • Provides support related to payroll data, as needed, by external and internal auditors
  • Review and confirm timecard and time-off approvals
  • Enter and edit timecards, historical adjustments, and pay changes as needed
  • Lock and sign off timecards at payroll deadlines
  • Audit holiday pay eligibility and ensure accurate timekeeping records.
  • Set-up web clocks and provide support as needed
  • Audit new hire records to ensure accuracy of pay rates, tax setup, and legal name compliance for W-2 reporting
  • Review termination payouts including final wages, accrued vacation, and reimbursements
  • Validate employee transfers, pay group changes, and compensation updates.
  • Maintain state and SUI tax accounts and assist with annual rate updates as needed
  • Audit employee address changes to ensure proper tax jurisdiction setup
  • Assist with creation of tax codes and earning codes in UKG as needed
  • Maintains current knowledge of federal, state and local payroll and compensation regulations to ensure Company compliance.
  • Submit tax notices to payroll vendor and maintain organized documentation
  • Monitor post-payroll tax filing confirmations and exception reporting
  • Completes and submits Unclaimed Property Reporting
  • Assists with EEO-1 reporting and other compliance related reporting needs
  • Collaborate with Finance to ensure accurate GL mapping and payroll reconciliations
  • Communicate unusual payroll debits or credits to Finance in advance of funding
  • Complete quarterly payroll reconciliations and reporting review
  • Respond to payroll helpdesk inquiries in a timely and professional manner
  • Distribute payroll reminders, deadline notifications, and informational communications
  • Partner with Legal and payroll vendor regarding wage garnishment processing
  • Facilitates management and employee understanding of payroll procedures.
  • Maintain organized payroll records and backup documentation
  • Assist with maintaining and updating payroll SOPs
  • Identify opportunities to improve payroll processes and internal controls
  • Other duties as assigned
