About The Position

Finalsite is hiring Payments Reconciliation Specialists for a defined contract program supporting large K–12 district clients. The role performs daily payment reconciliation work by following written procedures, using Excel and web portals, and ensuring files are accurate before delivery. The specialist reports to the Payments Reconciliation Lead and works remotely from within the United States. The position is filled through a US staffing partner or an offshore vendor. Work is reviewed by the Lead before it is sent to the client's Customer Success Manager; the specialist does not contact districts directly.

Requirements

  • At least 2 years of hands-on experience in cash application, accounts receivable or payable, bank reconciliation, merchant services or payment processor operations, or bookkeeping for a business with card sales.
  • Experience reconciling detailed transactions to a total, such as many items to one deposit, statement line, or batch, and investigating differences.
  • Excel skills including XLOOKUP or VLOOKUP, SUMIFS, pivot tables, text-to-columns, and saving a clean CSV.
  • Ability to follow written procedures exactly and report when a step does not work.
  • Accuracy under daily deadlines and consistent record-keeping.
  • Clear written English for short notes sent to districts under the Lead's name.
  • Current and continued permanent residency within the United States.

Nice To Haves

  • Experience with chargebacks, disputes, or NSF returns from the merchant side.
  • Experience with ERP imports or exports, such as Munis, Skyward, QuickBooks, or NetSuite.
  • Experience with a payment processor portal or settlement statement.
  • Experience in school district, municipal, or nonprofit finance.

Responsibilities

  • Pick up and log each chargeback notice from Operations on the same day.
  • Locate each affected order in the Web Store portal, using the chargeback notice as the source even when the order appears successful.
  • Reconstruct each order's line items, capturing the account or GL code, payment ID, dollar amount, and sales tax in the district settlement-file layout.
  • Build correction files with the appropriate accounting lines and sales tax, formatted for the district's ERP import, such as Munis.
  • Reconcile the orders and correction-file details to the aggregated chargeback deduction on the settlement statement, matching to the cent.
  • Prepare daily files for delayed or unfunded transactions, disputes, and NSF returns for each client.
  • Complete the runbook checklist and submit work to the Lead for review; files must receive a second review until the Lead lifts this requirement.
  • After review, send files to the client's Customer Success Manager for delivery to the district; do not contact districts directly.
  • Escalate missing or duplicate SKU account codes, unfindable orders, partial chargebacks, reconciliation discrepancies, tax questions, and runbook failures or gaps to the Lead.
  • Do not independently change templates or skip checks.
  • Maintain notes on slow or awkward processes to inform potential automation.

Benefits

  • Competitive benefits
  • Professional development opportunities
