Payments Reconciliation Lead - Contract

Finalsite•Glastonbury, CT
•Remote

About The Position

Finalsite is building a reconciliation service for its largest K–12 district clients as its websites, communications, enrollment, and payments products come together. The Payments Reconciliation Lead will establish and operate this service, creating procedures, hiring and training a small reconciliation team, and ensuring district payment figures reconcile accurately each day. The role reports to the CFO and works daily with Customer Success, which owns client relationships, and with Product. This is a contract-to-hire role and is 100% remote within the United States. Employment is limited to U.S. permanent residents, who must maintain U.S. residency throughout employment. The lead will document district workflows, manage daily tracking and quality review, coordinate client status reporting through Customer Success, and oversee the preparation and confirmation of ERP-ready correction files. The work includes reconstructing affected orders at the line-item level, matching them to district settlement files, and reconciling order-level details and correction files to aggregated settlement deductions. The role also extends the process to delayed or unfunded transactions, disputes, and NSF returns, and provides Product and Engineering with prioritized automation needs. The lead will monitor capacity, costs, turnaround, and quality, and recommend staffing approaches based on operational data.

Requirements

  • At least 5 years of experience in accounting operations, treasury, payments, or merchant services.
  • Daily hands-on responsibility for bank or settlement reconciliation.
  • At least 2 years leading, training, or supervising a reconciliation or back-office team.
  • Experience writing procedures and quality checks that other people followed.
  • Working knowledge of the merchant-side card dispute and chargeback process, including evidence deadlines.
  • Experience producing or validating ERP import files.
  • Advanced Excel skills, including lookups, SUMIFS, pivot tables, and large CSV cleanup.
  • Ability to explain a reconciliation break to a non-accountant.
  • Permanent U.S. residency and continued U.S. residency during employment.

Nice To Haves

  • Experience with temporary or offshore staff.
  • Munis experience.
  • CPA, CMA, or an accounting degree.
  • Background in payment processor, payment facilitator, or bank operations.
  • K–12 or public-sector fund accounting experience.
  • Experience managing a staffing partner or offshore vendor.
  • Experience handing a manual process to a product team for automation.

Responsibilities

  • Document each district’s reconciliation workflow in written runbooks, including quality checks.
  • Hire and train 5 to 10 reconciliation specialists through a staffing partner or offshore vendor.
  • Maintain a daily tracker identifying each task, client, assigned worker, and reviewer.
  • Review every file before it is sent to a district.
  • Send weekly status information to each client’s Customer Success Manager.
  • Manage the handoff of chargeback notices from Operations and ensure each district receives complete notices with order and transaction details.
  • Locate affected orders in the Web Store portal and reconstruct them at the line-item level using account or GL code, payment ID, amount, and sales tax, matching the district’s settlement-file layout.
  • Produce ERP-ready correction files with appropriate accounting lines and sales tax in each district’s import format, and confirm the files posted.
  • Reconcile individual orders and correction-file details to aggregated chargeback deductions on settlement statements.
  • Apply the reconciliation approach to delayed or unfunded transactions, disputes, and NSF returns so districts receive consolidated daily files.
  • Maintain a ranked list of process bottlenecks and report fields that could remove steps, and provide it to Product and Engineering.
  • Track hours per client and workflow, build a capacity model for the client list, and recommend U.S. temporary staff versus offshore staffing based on error and turnaround data.
  • Monitor performance measures including same-day task completion, cutoff adherence, business days from chargeback notice to ERP-ready file, timely surfacing of disputes, correction files that tie without rework, and automation requests accepted by Engineering.
