About The Position

Music@Menlo seeks a Patron Engagement Manager. This is a full-time, exempt position that reports to the Director of Development. The successful candidate must have outstanding interpersonal and organizational skills, a keen interest in arts administration, and be self-motivated, efficient, and eager to work in a fast-paced team setting.

Requirements

  • Bachelor's degree or higher
  • 2+ years’ experience in a responsible, fast-paced customer service, events, or arts administration position in a professional environment
  • Friendly, composed, and client-centered demeanor in person and on the telephone
  • Proven track record of working responsively and effectively with people of varied backgrounds, preferences, and communications styles
  • Facility and comfort with phone, e-mail, and Internet communications
  • Solid knowledge of and experience with Microsoft Word, Excel, and customer relationship manager software such as Patron Manager or Salesforce, and a strong ability to work in Macintosh environments
  • Must be available to work all events during the summer festival, from mid-July to early-August, including long hours, weekends, late nights, and early mornings consecutively, including overtime hours

Nice To Haves

  • Knowledge of nonprofit development and communications principles
  • Experience in a performing arts or box office environment
  • Experience with Patron Manager or other CRM
  • Proven ability to write and edit effectively and efficiently
  • Knowledge of classical music

Responsibilities

  • Collaborating with the development team on the year-round development strategy, which includes written solicitations, cultivation and outreach events, stewardship, database management, and general communications.
  • Managing all Music@Menlo’s box office and on-site ticketed events, VIP donor ticket services, and patron communications related to ticketing
  • Coordinating and implementing stewardship strategies for donors and major prospects, creating strategies for optimal relationship building
  • Managing and training two seasonal patron services staff during the festival season
  • Planning and executing public and private events, including donor stewardship activities, post-concert receptions, home concerts, and other special events during the summer season and throughout the year. This includes:
  • Working with the development staff, General Manager, and Board to develop an event plan that advances institutional strategy and fundraising goals, identifying opportunities to better engage donors, prospects, and other members of the community
  • Identifying event sites both on- and off- campus, including local hotels, restaurants, and homes of Music@Menlo’s patron community
  • Coordinating logistics with event hosts and site managers, assisting with room layouts and set-up; requesting bids, managing catering and vendors
  • Creating expense budgets, monitoring and analyzing expense data
  • Developing event management procedures that will ensure the timeliness of event planning implementation and execution.
