About The Position

The Patient Support Specialist serves as a key liaison between patients, providers, and healthcare teams by coordinating patient access, registration, scheduling, outreach, preventive care initiatives, and administrative support services. This position is responsible for accurately registering patients, obtaining required demographic and insurance information, collecting payments, coordinating referrals, assisting with care gap closure initiatives, conducting patient outreach, supporting quality improvement efforts, and ensuring excellent patient experiences. The Patient Support Specialist promotes efficient clinic and urgent care operations while maintaining compliance with organizational policies, HIPAA regulations, and quality standards. Must maintain a 95% accuracy rate on registration and patient information processes.

Requirements

  • High school diploma or general education degree (GED).
  • Must maintain BLS certification.
  • One to three months related experience and/or training; equivalent combinations of education and experience may be considered.
  • Ability to use hospital information systems, electronic medical records, Microsoft Office (Word, Excel, Outlook), and other healthcare software applications.
  • Ability to adapt quickly to new computer systems and technology.
  • Ability to read and interpret documents such as safety rules, operating instructions, procedures, and manuals.
  • Strong verbal and written communication skills.
  • Ability to communicate effectively with patients, families, physicians, staff, and leadership.
  • Must demonstrate courtesy, compassion, professionalism, and respect in all interactions.

Nice To Haves

  • Experience in outpatient healthcare settings preferred.
  • Population health, patient access, scheduling, or care coordination experience preferred.

Responsibilities

  • Responsible for registering patients and obtaining or verifying demographic, emergency contact, insurance, and other required information. Obtains all necessary patient signatures, consents, and admission documents.
  • Schedules patient appointments, testing, procedures, preventive services, and follow-up visits while ensuring accurate documentation within the electronic medical record.
  • Performs patient outreach through approved communication methods regarding preventive care, referrals, follow-up needs, care gaps, quality initiatives, and patient engagement activities.
  • Coordinates referrals, specialty appointments, ancillary services, and follow-up care while serving as a liaison between patients, providers, specialists, and the healthcare team. Assist patients in overcoming barriers to care and accessing appropriate resources.
  • Collaborates with providers, clinical staff, population health teams, and other departments to support quality improvement initiatives, patient satisfaction, care gap closure, and positive patient outcomes.
  • Utilizes reports, quality metrics, and available data to identify, track, and complete patient care and population health activities.
  • Collect patient payments and co-payments, accurately posts transactions, balances cash drawers when applicable, and comply with all PCI standards and organizational financial policies.
  • Maintains department records, reports, files, and required documentation while ensuring accuracy and completeness of patient information. Must maintain a 95% accuracy rate on registration and patient information processes.
  • Answers incoming calls and other patient inquiries in a professional, courteous, and timely manner.
  • Maintains patient confidentiality and complies with HIPAA, PCI, and all organizational policies, procedures, and regulatory requirements.
