About The Position

UW Medical Center- Montlake Vascular Diagnostic Services has an outstanding opportunity for a Patient Services Specialist (job profile: Patient Services Specialist 3). This full-time, 40-hour per week position operates Monday-Fridays from 8:30 am to 5:00 pm. It is conveniently located near public transportation and offers the chance to make a difference for patients and employees. The D.E. Strandness, Jr. Vascular Laboratory at UW Medical Center (UWMC) – Montlake is a premier facility for vascular ultrasound in the Pacific Northwest, offering a complete range of accredited vascular ultrasound examinations. Our dedicated staff collaborates closely with vascular surgery, transplant clinics, and other departments to provide excellent, patient-centered diagnostic care for outpatients, inpatients, and emergency department patients. The team includes registered vascular technologists and world-class academic vascular surgeons who work together to deliver timely, accurate results.

Requirements

  • High school graduation or equivalent
  • Two years Patient Services Specialist 2 experience OR An equivalent combination of education/experience

Responsibilities

  • Monitor incoming orders to EPIC work queues, online ticketing appointments, no show and cancellation reports, and fax.
  • Enter imaging orders from outside facilities which are received by fax.
  • Examine orders and appointments for correct procedure, appropriate indication, proper exam duration.
  • Contact team members, patients and/or care team to request further clarification and/or changes to orders if needed.
  • Schedule vascular ultrasound appointments at UWMC- Montlake and Eastside Specialty Center by phone and electronic medical record messaging with patients, caregivers, and medical staff.
  • Work with vascular technologist team and manager to accommodate urgent vascular exams.
  • Coordinate visits with vascular surgery and other clinics.
  • Prepare and send reminder messages and letters.
  • Register and check in patients for the vascular laboratory.
  • Edit resource schedule templates in EPIC according to available staffing, including adjusting the schedule for vacations and other planned absences.
  • Obtain a thorough knowledge of examination types in order to schedule appropriately and to predict staffing needs.
  • Have knowledge of basic anatomy and medical terminology to enable proper scheduling.
  • Gain the ability to differentiate between emergent, urgent and routine examinations.
  • Verification of insurance requirements and appropriate indications for each examination type.
  • Identify which patients will need pre-authorizations.
  • Enter and track authorization status.
  • Submit appropriate billing and insurance information to assist patients in receiving individualized cost estimates for their imaging exams.
  • Exhibit strong communication skills to ensure smooth flow throughout the vascular laboratory and referring clinics.
  • Be an active participant in caring for our patients.
  • Respond to patient’s needs and concerns as appropriate, maintaining the Patient First mentality.
  • Collaborate with associated departments to streamline patient experience and workflow efficiency.
  • Assist in identifying and providing solutions for complex workflow inefficiencies including: external referral submissions, financial access payor authorization, imaging protocolling and coding changes, and patient access to services.
  • Ensure we are meeting the needs of our patient’s as well as the departments' financial stability and success.
  • Develop and maintain good working relationships within the department and with all healthcare providers.
  • Support their team in day-to-day operational goals.
  • Maintain clean, organized, professional work area, orders office supplies, and performs other related duties as assigned.
