The Surgery Scheduler/Patient Services Representative performs general business office functions that may include ensuring the surgery schedule is correct and optimal, working closely with surgeon’s offices to ensure cases are scheduled with correct procedures, times and case order, communicating with charge nurses, anesthesiologists, and the surgical team regarding requested supplies and patient needs, and maintaining block schedules for surgeons and updating them as needed. This role also focuses on ensuring overall total customer satisfaction by greeting patients courteously and professionally, answering incoming calls courteously and professionally, responding to patient needs or directing them to the appropriate person for assistance, taking detailed messages and confirming they are received by the appropriate people, and obtaining overall operational knowledge of the center to assist in the triage process. The representative must also have insurance knowledge, such as being aware that HMO patients need a referral for each visit and which insurances the center accepts. Additionally, the role ensures that patients’ needs are handled in a timely and efficient manner by preparing new charts, verifying demographic and insurance information for established patients, entering patient charges, payments, and approved discounts into the billing system on the day of surgery, and collecting unmet deductibles, coinsurance, copayments, and outstanding past due patient balances on the day of surgery. The position also ensures that paperwork processing is confidential, efficient, and timely, including balancing out at the end of the day and performing necessary End of Day processes, opening and distributing all incoming mail and packages, maintaining a neat and orderly workspace with adequate supplies, and maintaining the strictest confidentiality of all information related to medical records, staff-patient communication, and patient treatment events. All other duties as assigned will also be performed.
