The Patient Services Representative is a liaison between the patient and medical support staff, greeting patients, checking them in, verifying insurance information, and ensuring all necessary forms are signed. They also manage the appointment book, provide phone support, and screen visitors. The position involves gathering charge information, coding diagnoses, entering data, completing the billing process, and distributing billing information. They file insurance claims, assist patients with insurance forms, and process unpaid accounts by contacting patients and third-party payers. Additionally, they are responsible for cashiering functions, including balancing the cash drawer, preparing deposits, and receiving payments. The role also includes updating patient account databases, scheduling appointments, and assembling patient charts. They assist patients with questions regarding insurance claims, disability benefits, home health care, and medical equipment. The Patient Services Representative follows up with insurance companies to ensure coverage approval and maintains records of patient accounts. They prepare disability claims, confirm workers' compensation claims, and maintain files with referral slips and authorizations. The position involves researching information for outpatient billing, coding procedures and diagnoses, and entering charge information into the system. They also manage returned mail, outgoing statements, and assist with outpatient coding and error resolution. Medical records management is a key part of the role, including pulling, delivering, transporting, sorting, and filing charts, as well as picking up lab reports, dictations, X-rays, and correspondence. They ensure charts are correctly filed, maintain orderly files, purge obsolete records, and destroy outdated records according to procedures. New patient charts are created, damaged charts are repaired, and assistance is provided in locating and filing records. The Patient Services Representative works with medical assistants and other staff to route charts appropriately and follows medical records policies. They collect payments at the time of service, review accounts for timely payments, and perform collection actions. Evaluating patient financial status, establishing payment plans, and recommending accounts for collection agencies are also part of the responsibilities. Identifying and resolving patient billing complaints and following up on accounts until a zero balance is achieved or the account is turned over for collection are key duties. The role requires participation in educational activities, gathering and verifying superbills, entering charge and payment information, and ensuring accuracy. Daily computer file backups and closing are performed. New patients are registered, and financial information is updated, maintaining strict confidentiality. As a representative of Prisma Health Clinical Department, the individual is expected to maintain a neat and professional appearance, demonstrate commitment to service, and uphold office manual guidelines.
