About The Position

This role is responsible for scheduling patient appointments and tests efficiently and in a timely manner. It may involve outside scheduling and/or surgical scheduling. The coordinator will greet patients and guests courteously, act as a liaison between patients and medical staff, and support the practice's compliance program, including ethical standards and patient confidentiality. Adherence to state, federal, and HIPAA laws is crucial. The position requires upholding CORE values daily.

Requirements

  • High school diploma or equivalent required.
  • 0-3 years’ experience preferably in a medical office setting.
  • Excellent communication skills, written and verbal.
  • Proficiency in Microsoft Office (Outlook, Word, Excel) required.

Nice To Haves

  • Knowledge of medical terminology and coding a plus.

Responsibilities

  • Verifies date of birth and obtains all appropriate forms.
  • Answers incoming calls and messages related to scheduling, addressing caller needs and directing them appropriately.
  • Obtains and communicates messages accurately and in a timely manner.
  • Schedules new patients, referrals, and returning patients in the computer system according to guidelines.
  • Receives referrals, creates accounts, and enters insurance information.
  • Requests initial records, determines appropriate appointment times, schedules consults, and mails new patient packets.
  • Initiates prior authorization requests and completes documentation in patients' electronic medical records (EMR).
  • Communicates appointment details and potential preparation needs to patients.
  • Gathers patient information as needed and inquires about test specifics.
  • Adheres to scheduling templates, including physician meetings, satellite schedules, rounding, and call coverage.
  • Prepares correspondence, memos, forms, and other typing as requested.
  • Processes EMR orders and completes chart messages in a timely manner.
  • Works the bump list and no-show reports promptly.
  • Monitors order queues to meet practice metrics.
  • Cancels/reschedules appointments due to schedule changes and notifies appropriate personnel.
  • Complies with no-show process and policy.
  • Works with Front Office Supervisor & Nursing Supervisor to optimize scheduling within the infusion room.
  • Meets appropriate metrics and completes supervisor-provided checklists.
  • Arranges for patients to have financial counseling as needed.
  • Covers for other front office functions as requested.
  • Floats as needed and/or assists other sites remotely.
  • Performs other duties as assigned.
