The Patient Service Representative (PSR) creates the initial electronic health record, which serves as the foundation for the patient's medical record used by the entire healthcare team. This role is crucial for preventing duplicate medical records, ensuring patient safety, and avoiding billing problems. The PSR must positively identify patients before care delivery, adhering to organizational mandates and accrediting body requirements. They are responsible for checking in and registering patients, gathering and verifying complete demographic, guarantor, and insurance information, and collecting co-pays and other patient financial responsibilities. Accurate registration ensures timely payment and prevents billing issues. The PSR must maintain patient confidentiality in accordance with HIPAA, understand insurance basics, recognize contracted plans, and know when a statement of financial responsibility is needed. They also need to be knowledgeable about compliance regulations such as HIPAA, EMTALA, Consent for Treatment, Patient Rights and Responsibilities, and various Medicare notices. The role may involve scheduling appointments (including virtual and procedural), coordinating cancellations, reschedules, and waitlist requests. Additionally, the PSR may provide detailed information about test preparations, arrival times, medication guidelines, check-in procedures, and directions. They perform visit closure, schedule follow-up appointments, and provide after-visit summaries. Patient portal/app education and support may also be part of their duties. The PSR is expected to create a welcoming and professional environment, demonstrate exceptional customer service, greet patients and visitors, respond to requests, answer telephones, screen calls, and take messages. Maintaining excellent public relations and collaborating effectively with others for concise information flow is essential. They proactively communicate customer service issues and process improvement opportunities to management. Assistance may be offered to patients for transportation, directions, wheelchairs, and interpreter services. Responsibilities may also include e-scanning documents, managing faxes, addressing in-basket messages, and following directions for emergent needs. Monitoring and working assigned electronic health record work queues according to approved processes is required. Assisting with orientation and training for new staff may also be part of the role.
