The Patient Service Representative 1 Hospital creates the initial electronic health record, which serves as the foundation for the patient medical record used by all healthcare team members. This role is crucial for preventing duplicate medical records, which can lead to treatment safety issues and billing problems. The representative ensures patient safety by following organizational mandates to positively identify patients before care delivery. They also check in and register patients, collect and verify demographic, guarantor, and insurance information, and discuss and collect co-pays and other patient out-of-pocket responsibilities. Accurate registration information is vital for timely payment and preventing billing issues. The role requires maintaining patient confidentiality in accordance with HIPAA, understanding insurance basics, recognizing contracted plans, and knowing when a statement of financial responsibility is needed. The representative must also understand and discuss financial information with patients, referring them to Financial Advocates when necessary. They are responsible for ensuring compliance with government agencies and regulations such as HIPAA, EMTALA, Consent for Treatment, Patient Rights and Responsibilities, Important Message from Medicare (IMM), Medicare Outpatient Observation Notice (MOON), Notice of Privacy Practices, Medicare Secondary Payer Questionnaire (MSPQ), and Advanced Beneficiary Notice (ABN). Additionally, they obtain necessary patient or guarantor signatures, may schedule appointments, coordinate cancellations and reschedules, and provide detailed information about test preparations, arrival times, and check-in procedures. The role emphasizes creating a welcoming and professional environment through extraordinary customer service, greeting patients and visitors, responding to requests, answering telephones, screening calls, and offering assistance with transportation, directions, wheelchairs, and interpreter services. The representative also monitors and works assigned electronic health record work queues according to departmental processes.
