The Patient Service Representative (PSR) is responsible for creating the initial electronic health record, which serves as the foundation for patient medical records used by the entire healthcare team. This role is crucial for preventing duplicate medical records, ensuring patient safety, and avoiding billing issues. The PSR must positively identify patients before care delivery, adhering to organizational mandates and accrediting body requirements. They are responsible for checking in and registering patients, obtaining and verifying demographic, guarantor, and insurance information, and collecting co-pays and other patient financial responsibilities. Accurate registration ensures timely payment and prevents billing problems and patient complaints. Maintaining patient confidentiality in accordance with HIPAA is paramount. The PSR needs a strong understanding of insurance basics, including commercial and government plans, and knowledge of AAH's contracted plans. They must be able to discuss financial obligations with patients and refer them to Financial Advocates when necessary. Compliance with government regulations such as HIPAA, EMTALA, and others is essential, requiring the collection of necessary signatures. The role may involve scheduling appointments (including virtual and procedural), coordinating cancellations and reschedules, and providing detailed information about test preparations and facility directions. Visit closure, including checking out patients, scheduling follow-ups, and providing after-visit summaries, may also be part of the duties. Patient education and support for the patient portal/app are also included. The PSR is expected to create a welcoming and professional environment through exceptional customer service, greeting patients and visitors, answering phones, screening calls, and taking messages. Maintaining positive public relations and collaborating effectively with others for efficient information flow is key. Proactive communication of customer service issues and process improvement opportunities to management is encouraged. Assistance to patients may include arranging transportation, providing directions, locating wheelchairs, and coordinating interpreter services. The role may also involve e-scanning documents, managing faxes, addressing in-basket messages, and following clinical team directions for emergent needs. Monitoring and working assigned electronic health record work queues according to approved processes is also a responsibility. Additionally, the PSR may assist department leadership with orientation and training.
