The Patient Service Representative (PSR) is responsible for creating the initial electronic health record, which serves as the foundation for the patient's medical record used by the entire healthcare team. This role is crucial for preventing duplicate medical records, ensuring treatment safety, and avoiding billing problems. The PSR must positively identify patients using organizational mandates to ensure patient safety, check in and register patients, obtain and verify demographic, guarantor, and insurance information, and collect co-pays and other patient responsibilities. Accurate registration information is vital for timely payment and preventing billing issues. The PSR must maintain patient confidentiality in accordance with HIPAA, understand insurance basics, recognize contracted plans, and discuss financial obligations with patients, referring them to Financial Advocates when necessary. They must also be knowledgeable about government regulations and compliance requirements such as HIPAA, EMTALA, Consent for Treatment, Patient Rights and Responsibilities, IMM, MOON, Notice of Privacy Practices, MSPQ, and ABN, obtaining necessary signatures. Additional duties may include scheduling appointments (including virtual and procedural), coordinating cancellations and reschedules, providing detailed information about test preparations and facility directions, performing visit closures, educating patients on the patient portal/app, and creating a welcoming environment through exceptional customer service. The PSR will also answer telephones, screen calls, take messages, and maintain positive public relations with patients, families, and staff, collaborating effectively for information flow. They are expected to proactively communicate customer service issues and process improvement opportunities to management and offer various patient assistance, such as arranging transportation or coordinating interpreter services. Responsibilities may also include e-scanning documents, managing faxes and in-basket messages, and following directions for emergent needs. The PSR will monitor and work assigned electronic health record work queues and may assist with orientation and training.
