The Patient Service Representative creates the initial electronic health record, which is the foundation of the patient medical record used by all healthcare team members. This role is crucial for preventing duplicate medical records, which can lead to safety issues and billing problems. The representative ensures patient safety by positively identifying patients prior to care delivery, adhering to organizational accrediting body mandates. They register patients, collect demographic and insurance information, and process co-pays and other patient financial responsibilities, ensuring timely payment and preventing billing issues. Maintaining patient confidentiality in accordance with HIPAA is paramount. The role requires knowledge of insurance basics, understanding contracted plans, and knowing when to refer patients to Financial Advocates. The representative must also be knowledgeable about government regulations and compliance, including HIPAA, EMTALA, Consent for Treatment, Patient Rights and Responsibilities, and various Medicare notices. They obtain necessary signatures and may schedule appointments, coordinate cancellations and reschedules, and manage waitlist and recall requests. Additionally, they provide detailed information about test preparations, arrival times, and check-in procedures. The role involves educating patients on the patient portal/app and creating a welcoming environment through exceptional customer service. They answer phones, screen calls, and maintain positive public relations with patients, families, and staff, collaborating effectively for information flow. Proactive communication of customer service and process improvement opportunities to management is expected. Assistance may be offered for transportation, directions, wheelchairs, and interpreter services. Responsibilities may also include e-scanning documents, managing faxes, addressing in-basket messages, and following clinical team directions for emergent needs. Monitoring and working assigned electronic health record work queues is also a key function. The role may involve assisting with orientation and training.
