The Patient Service Representative is responsible for creating the initial electronic health record, which serves as the foundation for the patient medical record used by the entire healthcare team. This role is crucial for preventing duplicate medical records, ensuring patient safety, and facilitating timely billing. The representative will register patients, collect and verify demographic and insurance information, and discuss and collect co-pays and other patient financial responsibilities. Maintaining patient confidentiality in accordance with HIPAA is paramount. The role requires knowledge of insurance basics, contracted plans, and financial obligations, with the ability to refer patients to Financial Advocates when necessary. The representative must also be knowledgeable about government regulations and compliance requirements such as HIPAA, EMTALA, and others, ensuring necessary signatures are obtained. Additionally, this position may involve scheduling appointments, providing detailed patient information, performing visit closures, educating patients on the patient portal, and creating a welcoming environment through exceptional customer service. Responsibilities also include answering telephones, screening calls, taking messages, and maintaining positive public relations with patients, families, and staff. Proactive communication of customer service and process improvement opportunities to management is expected. The role may also include administrative tasks such as e-scanning documents, managing faxes and in-basket messages, and assisting with orientation and training.
