The Patient Service Representative (PSR) is responsible for creating the initial electronic health record, which serves as the foundation for patient medical records used by the entire healthcare team. This role is crucial for preventing duplicate medical records, ensuring patient safety, and facilitating accurate billing. The PSR registers patients, verifies demographic and insurance information, collects co-pays, and maintains patient confidentiality in accordance with HIPAA. They must understand insurance basics, identify contracted plans, and discuss financial obligations with patients, referring them to Financial Advocates when necessary. The role also involves ensuring compliance with various government regulations and patient rights. Additionally, the PSR may schedule appointments, provide detailed information about preparations and procedures, perform visit closures, and educate patients on using the patient portal. A key aspect of this role is creating a welcoming environment through exceptional customer service, managing inquiries, and maintaining positive public relations. Proactive communication of customer service and process improvement opportunities to management is expected. The PSR may also assist with administrative tasks such as scanning documents, managing faxes and in-basket messages, and supporting department leadership with training.
