About The Position

This role serves as the primary point of contact for patients and visitors, ensuring a welcoming experience and supporting them through the check-in and check-out processes. The Patient Service Representative will respond promptly to patient needs, questions, and concerns, and will handle patient feedback by promoting patient satisfaction surveys. Key responsibilities include completing patient registration, updating demographics, handling consent forms, HIPAA documentation, and verifying insurance for various plan types. The role also involves maintaining accurate appointment schedules, conducting outreach for no-shows, answering phones professionally, and maintaining EMR accuracy.

Requirements

  • At least one (1) year of experience in a medical front office setting.
  • At least one (1) year of experience with direct handling of insurance eligibility/verification.
  • At least one (1) year of experience with using electronic medical records, electronic patient registration and scheduling.
  • BLS Certificate.

Responsibilities

  • Greet and welcome patients and visitors.
  • Support patients through check-in/check-out processes.
  • Respond promptly to patient needs, questions, and concerns.
  • Handle patient feedback through promotion of patient satisfaction surveys.
  • Complete patient registration, including demographic updates, consent forms, HIPAA documentation, and insurance verification.
  • Verify insurance eligibility at every encounter for federal, state, and commercial plans; confirm primary vs. secondary coverage and update payer sequence.
  • Validate insurance cards and photo identification to ensure correct coverage.
  • Collect co-payments, self-pay amounts, share of cost, co-insurance.
  • Maintain accurate, up-to-date appointment schedules for all physicians, advanced practice providers, and ancillary services including lab and nursing visits.
  • Conduct outreach for no-shows and follow up appointments.
  • Answer phones promptly and professionally; route calls to appropriate departments.
  • Maintain EMR accuracy by filing, retrieving, and forwarding records.
