About The Position

Mass General Brigham is seeking a customer-focused and detail-oriented Practice Assistant to join our team at our Peabody location. In this role, you will serve as a key member of the care team, supporting both administrative and clinical operations to ensure a positive patient experience and efficient practice workflow. The ideal candidate is organized, compassionate, and thrives in a fast-paced healthcare environment while delivering outstanding service to patients, providers, and colleagues. Under general supervision, the Practice Assistant performs a variety of administrative and clinical support functions to promote smooth and efficient practice operations. Responsibilities include patient scheduling, registration, check-in/check-out activities, and routine clerical duties. Actual responsibilities may vary based on departmental needs.

Requirements

  • High School Diploma or Equivalent required
  • Office experience 2-3 years required

Responsibilities

  • Welcome and assist patients, visitors, and families in a professional and compassionate manner.
  • Schedule patient appointments and maintain accurate appointment records.
  • Perform patient check-in and check-out functions, ensuring all demographic and insurance information is current.
  • Answer and manage incoming telephone calls, respond to routine inquiries, and route messages appropriately.
  • Handle and screen messages related to prescription refills, prior authorizations, provider questions, and test results.
  • Process patient billing forms, collect co-payments as needed, and support registration and billing activities.
  • Scan and upload documentation into the electronic medical record.
  • Obtain outside medical records and laboratory results as necessary.
  • Open, distribute, and manage incoming mail, faxes, and other correspondence.
  • Prepare and type forms, schedules, memos, and other routine documents.
  • Maintain organized patient records and appointment schedules.
  • Serve as a departmental "Super User" for scheduling, registration, and billing systems, providing guidance and training to team members.
  • Perform more advanced administrative functions, including surgical scheduling and provider schedule management, as needed.
