About The Position

Our next Patient Service Representative will be responsible for serving as the first point of contact for clients, families, referral sources, and community partners. This position supports the daily operations of the behavioral health clinic by managing patient registration, scheduling, insurance verification, communication, and administrative tasks while providing exceptional customer service and maintaining confidentiality. The clinic front desk is staffed Monday through Thursday from 8:00 am to 7:00 pm and Friday from 8:00 am to 4:00 pm. Staff will work overlapping 8-hour shifts to ensure continuous coverage and to meet peak demands.

Requirements

  • HS diploma or equivalent required
  • Requires 6 to 12 months of related experience within a busy customer service environment, preferably in a healthcare setting.
  • Proficient in the usage of computer software; demonstrate an understanding of computer file systems and computer software packages, e.g., Microsoft Office, Excel, Outlook, Teams, ADP, etc.
  • Physical exam, drug screen, motor vehicle report, and background checks are required for this position.
  • A valid Wisconsin Driver’s License required or reliable transportation to conduct on-site learning throughout the state.

  • Healthcare and insurance verification experience preferred.
  • Epic experience and medical terminology skills are preferred.

Responsibilities

  • Greet patients, families, visitors in a professional and compassionate manner and direct them to the appropriate person or destination. Assist clients with special needs as required.
  • Answer telephone calls and either respond to inquiries, direct callers to appropriate personnel, or take messages.
  • Provide registration and financial forms to patients and update required demographic information at the front desk.
  • Ensure new patient information is completed.
  • Ensure required demographic information is updated according to protocols.
  • Register patients according to protocols and ensure patient information is accurate.
  • Collect payments from patients and reconcile cash receipts daily.
  • Enter confidential health information, demographics, and financial information into a computerized system accurately, including correct spelling.
  • Verify, update, and enter insurance information into the billing system, including adjusting the effective date/term date of the patient’s insurance policy.
  • Schedule follow up appointments according to scheduling protocols and ensure patients receive reminder calls.
  • Receive incoming mail, sort, and distribute it to the appropriate person or destination.
  • Notify Clinic staff upon patient arrival.
  • Assist doctors with clerical tasks and obtaining vitals.
