The Patient Service Representative I is responsible for creating the initial electronic health record, which serves as the foundation for patient medical records used by the entire healthcare team. This role is crucial in preventing duplicate medical records, which can lead to safety issues and billing problems. The representative must ensure positive patient identification using organizational mandates to guarantee patient safety before care delivery. Key duties include checking in and registering patients, collecting and verifying comprehensive demographic, guarantor, and insurance information, and collecting co-pays and other patient out-of-pocket expenses. Accurate registration ensures timely payment and prevents billing issues and patient complaints. The role requires maintaining strict confidentiality of patient information in accordance with HIPAA. The representative must understand insurance basics, recognize commercial and government plans, know Advocate Health's contracted plans, and determine when a statement of financial responsibility is needed. They will discuss financial information with patients and know when to refer them to Financial Advocates. The position also involves ensuring compliance with government agencies and regulations such as HIPAA, EMTALA, Consent for Treatment, Patient Rights and Responsibilities, Important Message from Medicare (IMM), Medicare Outpatient Observation Notice (MOON), Notice of Privacy Practices, Medicare Secondary Payer Questionnaire (MSPQ), and Advanced Beneficiary Notice (ABN). Signatures may be required from patients or guarantors. Responsibilities may extend to scheduling patient appointments, coordinating cancellations, reschedules, wait list requests, and recall requests. The role involves providing detailed information about test preparations, arrival times, medication/food/beverage guidelines, check-in procedures, and directions. Creating a welcoming and professional environment through extraordinary customer service is essential. This includes greeting patients and visitors, responding to information requests, answering and screening telephone calls, and taking messages. Assistance may be offered to patients for transportation needs, directions, wheelchair access, and interpreter services. The representative will monitor and work assigned electronic health record work queues according to departmental processes.
